Job Description JOB TITLE Fixed Assets Inventory Officer (Temporary) LEVEL/BAND Project DEPARTMENT Support DIRECT REPORT (JOB TITLE) Procurement & Contracts Manager O verall Purpose of the Position The Fixed Asset Inventory Officer is responsible for maintaining accurate records of the organization’s fixed assets, conducting periodic physical inventory checks, reconciling asset records, and ensuring compliance with internal policies. The role supports effective asset tracking, safeguarding, and reporting across all Bank’s units. Operational Responsibilities To communicate with Finance the purchase of new fixed asset items and their movement from one location to another; Tag and label company assets using barcode or asset management systems; Maintain and update the fixed asset register with accurate asset information, including acquisition dates, locations, custodians, depreciation details, and disposal records; Conduct periodic physical verification and inventory counts of fixed assets across company locations; Reconcile physical inventory findings with the Finance Department; Investigate and report discrepancies such as missing, damaged, obsolete, or unrecorded assets; Prepare asset movement, transfer, disposal, and write-off documentation; Visit Bank sites and coordinate with departments to ensure proper asset allocation and accountability; Support internal and external audits by providing accurate asset documentation and reports; Ensure compliance with company policies, and regulatory requirements related to fixed assets; Generate periodic fixed asset reports and inventory summaries for management review; Assist in the implementation and improvement of asset management procedures and systems. General Responsibilities To work collaboratively, efficiently and effectively with other APS Bank Departments; To provide overall assistance and support the Division’s management projects; To ensure compliance with all relevant laws, regulations, policies and standards; To perform any other duties / tasks that may be assigned and / or delegated from time to time by the Manager; To attend any training as required by the Bank from time-to-time. Qualifications, Skills & Competencies Mandatory Skill Self-motivated, able to prioritize assignments and can work independently; Effective verbal and written communication skills with solid organization skills; Be a team player, reliable, organized, meticulous and can work on own initiative; Be computer literate and conversant in MS Office applications. Ability to conduct physical inspections and work across multiple locations when required. Experience Ideally possess work experience in carrying out fixed asset inventory duties; Proven experience in managing a store / purchasing function with subordinates directly reporting to him... Qualification Proficiency in Microsoft Excel and other Microsoft Office applications; Having knowledge related to fixed assets processes. Desirable Skill Be able to work under minimum supervision; Possess a valid driving licence. Experience Previous experience will be considered as an asset. Qualification Having an ECDL Certificate.
