Job summary
The Primary Care Business Support Unit [BSU]works in partnership with PICS practices, and external parties, offering administrative support across a range of functions. It identifies emerging projects, works towards standardisation of working practices and reduces the clinical & administrative burden faced by practices. The BSU has demonstrated delivery, adaptability and value. The team is expanding to support both immediate operational needs and longer-term strategic growth, so we are looking for a motivated and experienced administrator to join us.
The role is based at PICS HQ with ad hoc travel to practices/external sites required so access to a vehicle for work purposes is essential.
The role will support all administration duties associated with designated clinical service contracts and primary care support.
The post holder will support the BSU by undertaking a range of activities carried out in a flexible& professional manner.
The role will be part of a busy team, processing incoming emails and hard copy information requests accurately and appropriately.
There will be patient and public contact across a variety of media and in person. Expect daily interaction with, and requests for work from, colleagues, patients / carers and external services.
The role will be part of the BSU working under the management and guidance of the Business Support Manager, with appropriate medical oversight by the Deputy Clinical Director.

Main duties of the job
KEY RESPONSIBILITIES
Effective and efficient administration support, working in a team responding to high demand, the need for change and assisting continued development of primary care services. Creation and administration of all medical reports from various requestors such as government agencies, insurance companies, legal teams and employers. Work as part of the BSU Primary Care research team, to pursue an expansion of its research footprint. Flexibility and adaptability in approach across all duties and service requirements.KEY REQUIREMENTS
Good general education with Maths & English qualifications [essential]
Previous and demonstrable experience of working in patient/public facing role [1 year min/essential]
Excellent administration skills, ability to work as part of a team and follow management instructions
Flexible approach to working hours for cover of colleagues absence or at times of high workload

MAIN DUTIES:
Working as part of a busy team, process incoming calls, emails and hard copy information requests accurately and appropriately.
Work as an effective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working.
Daily, accurate data entry and processing using SystmOne and other databases.
Ensuring high levels of confidentiality and information governance in your work.
Effective communication with clinical and administration teams, and external contacts.
Ability to make judgements on issues and when to refer onto more senior staff or Clinicians.
Flexibility in approach to work tasks, able to prioritise a busy workload.
Providing cover for colleagues in the BSU.
Achieve set targets and Key Performance Indicators.
Complete relevant training, including for research activity, and participate in team meetings.
Occasional travel to practices and face to face patient contact.

Management of Risk
The post holder must comply with all PICS policies and procedures which aim to ensure safe practice and minimise risk. This includes:
Infection control / needlestick Protecting themselves and others against infection risks. All staff regardless of whether clinical or not are expected to comply with current infection control policies and procedures and to report any problems regarding this to the manager. All staff should attend infection control training and updates as required.

Ability to communicate clearly by telephone, email, and letter.

Contribute to the work of the BSU and practice teams in by utilising the data from SystmOne and other information systems to ensure activity is recorded and improve care.
