Job summary

We are looking for an experienced, motivated and resilient Administrative Team Leader to join the Core Community Hub at Oaklands, part of Forward Thinking Birmingham Mental Health Services.

This is an important leadership role within a busy community mental health service. The postholder will oversee the day-to-day running of the administrative function and directly manage a range of staff, including Medical Secretaries, Senior Administrators and Receptionists.

Oaklands supports children and young people with a wide range of mental health needs. The successful candidate will work closely with psychologists, nurses, therapists, consultant psychiatrists, operational managers and the wider multidisciplinary team to help ensure the service runs safely and effectively.

We are looking for someone who is confident, approachable and able to lead with professionalism and empathy. They will be comfortable managing competing priorities, supporting staff development and creating a positive, respectful and accountable team culture.

Main duties of the job

The Administrative Team Leader will oversee the day-to-day delivery of administrative services at Oaklands and provide direct line management to Medical Secretaries, Senior Administrators, Receptionists and other administrative staff.

Key responsibilities will include allocating and monitoring workloads, supervising and developing staff, managing attendance and performance, supporting recruitment and induction, and ensuring administrative processes are completed accurately and within required timescales.

The postholder will support the effective management of appointments, waiting lists, patient communications and data quality. They will identify and resolve operational issues, provide clear guidance to staff and escalate concerns appropriately.

Working closely with clinical and operational colleagues, the postholder will help ensure that administrative processes support patient safety, service performance and a positive experience for young people and families.

The successful candidate will need experience of managing an administrative team, including direct line management. They should be highly organised, able to remain calm under pressure and confident in handling sensitive or difficult conversations in a fair and constructive way.

Strong interpersonal skills are essential, along with the ability to motivate others, build positive working relationships and maintain clear standards within a busy and demanding environment.

Person Specification

Qualifications Essential

Relevant administrative, business or management qualification, or equivalent experience.

Knowledge and Experience Essential

Significant administrative experience within a busy and complex working environment. Experience of supervising or managing administrative staff. Experience of monitoring workloads, allocating tasks and managing competing priorities.

Desirable

Experience of working within the NHS or a comparable healthcare setting. Working knowledge of patient administration or electronic patient record systems.

Managerial and Leadership Skills Essential

Ability to provide effective day-to-day leadership, motivate staff and manage staffing matters appropriately.

Personal Skills and Attributes Essential

Strong organisational, communication and problem-solving skills, with the ability to remain effective under pressure.
