About this role

Job summary

The Specialty Training Administrator plays a pivotal role in supporting the coordination, quality assurance, and delivery of postgraduate medical education across East Lancashire Hospitals NHS Trust. The post holder works directly with doctors in training, supporting their clinical placements, induction, teaching programmes, and pastoral needs. They ensure accurate data management, compliance with National Health Service England (NHSE NW) and General Medical Council (GMC) standards, and provide comprehensive administrative support to trainees, educators, and programme directors. This role requires excellent organisation, communication, and interpersonal skills, with a strong attention to detail and a proactive approach to problem-solving. It is vital to improving the working lives of our doctors in training and supporting the future medical workforce.

Main duties of the job

The post holder will be responsible for developing and maintaining comprehensive and robust systems and database to enable the co-ordination and monitoring of our Doctors in Training placements and teaching sessions. The post holder will co-ordinate within tight timescales, a range of administrative activities, including the use of word processing, databases, spread sheets, bespoke systems, intranet/internet, to ensure delivery of the Trust's policies and processes in relation to doctors in training and all Senior Medics.

INDUCTION AND PLACEMENT CO-ORDINATION

GENERAL PRACTITIONER SPECIALITY TRAINING (GPST) PROGRAMME ADMINISTRATION

QUALITY ASSURANCE AND MONITORINGAssist in organising and support NHSE NW monitoring visits and quality assessments Collate and compile data for submission in line with NHS and GMC standards with the Director of Medical Education.Assist with the preparation and submission of annual Local Education Provider report, as well as any other internal / external reporting requirements.Disseminate and follow up on GMC National Training Survey results. Maintain the Educator Trainers Database and log educator evidence & send updated information to the GMC.Collate reports and papers for the Medical Education Manager and stakeholders. Attend Medical Education and administrative meetings (e.g., Medical Education Quality Assurance Group), take accurate minutes, distribute them promptly, and ensure timely receipt of TSTL reports

About us

COMMUNICATION Communicate regularly and effectively with the Director of Medical Education, Deputy DMEs, SAS Doctor Lead, Clinical Education and PGME Lead, and the Medical Education Manager to ensure alignment on training strategy, quality, and compliance. This includes conveying complex information clearly and handling sensitive information with discretion and clarity.

Establish and maintain collaborative relationships with the GP Programme Director, Divisional Education Leads (DELs), Trust Specialty Training Leads (TSTLs), and SAS Doctors Lead. Use persuasive and reassuring communication to coordinate placements, resolve issues, and support programme delivery, particularly when navigating conflicting priorities or sensitive concerns.

Act as a key point of contact for doctors in training, consultants, SAS doctors, and primary care educators. Provide clear, supportive, and empathetic guidance. Handle queries and concerns with discretion, especially when dealing with emotional or sensitive issues.

Qualifications Essential

GCSE English Language and GSCE Maths Grade C or equivalent RSA Word Processing Level II or equivalent; Proven IT skills including Microsoft Office (Word, Excel, Outlook) or demonstrable experience NVQ Level 3 or 4 in Business Administration or equivalent or willingness to work towards

Desirable

ECDL or equivalent; Access Database or Excel Spreadsheet qualification

Knowledge and Skills Essential

Excellent written and verbal communication skills Ability to manages time effectively; prioritise tasks; meets deadlines and anticipate future needs Understanding of administrative systems and processes

Familiarity with Horus or similar e-portfolio systems Knowledge of GMC, NHSE, and Royal College standards
