Job summary

Bradford District Care NHS Foundation Trust is seeking an organised and enthusiastic Inpatient Ward Administrator to join our Clinical Administration Services within an inpatient hospital environment.

The role provides efficient, effective and high-quality administrative support to inpatient clinical teams, acting as a key point of contact for patients, carers, visitors and clinicians. You will support the day-to-day running of ward services through a range of clerical and reception-based duties.

The post holder will work across a number of inpatient wards to ensure consistent Monday to Friday administrative cover and continuity of support for clinical services. This is a ward-based role and does not support working from home.

Working hours are Monday to Friday, 9.00am - 5.00pm, 5 days per week.

Main duties of the job

The post holder will provide efficient, effective and high-quality administrative support within an acute inpatient ward environment, supporting clinical teams, patients and visitors to ensure the smooth running of ward-based services.

Duties include maintaining accurate clinical and non-clinical records, managing referrals, appointment bookings, admissions and discharges, and updating bed state information using Trust clinical systems. The role involves handling telephone and face-to-face enquiries, acting as a first point of contact for patients, carers, visitors and healthcare professionals, and delivering a professional and courteous reception service.

The Inpatient Ward Administrator will undertake a wide range of general administrative tasks including diary management, meeting coordination, document and letter preparation, data entry, filing, scanning, post handling and stock control. The post holder will arrange interpreters and transport as required and support the collection and reporting of data.

You will manage and prioritise your own workload using workflow management systems, work flexibly as part of a multidisciplinary administrative team, and contribute to service improvement. The role requires adherence to Trust policies including confidentiality, information governance, health & safety and safeguarding, while promoting a positive experience for patients and visitors at all times.

Person Specification

Qualifications Essential

Level 3 qualification in relevant field or equivalent level of Experience. (e.g. GCSE A-C or NVQ Level 3) Maths & English GCSE grades 4-9 (A-C) or L3. Or experience within an administration / customer service role.

Desirable

Level 2 qualification in relevant field i.e Business / admin ICDL L2 or equivalent experience

Experience Essential

Customer service experience (e.g. face to face, answering calls or correspondence) Administration/office experience (i.e. diary management, electronic filing systems, meeting preparation, note taking, inputting data, collating and presenting information) Providing administrative or secretarial support. Experience of organising competing demands and workloads. Experience of setting up and maintaining administrative systems and processes. Experience of working autonomously and proactively

Desirable

Administration/office experience supporting senior management/clinical functions within the public sector. Experience of audio typing/digital dictation (e.g. BigHand) Previous NHS experience Workflow management experience (e.g. job allocation)
