Due to internal secondment, we are seeking a motivated and experiencedAdministration Team Manager to lead our Therapy Services administrative team at the Royal Orthopaedic Hospital. You will be based at College Green, ROH Outpatient Therapy Site.
This is an exciting opportunity to play a pivotal role in ensuring high-quality, efficient, and patient-focused administrative support across Therapy Services.
You will manage day-to-day operations, lead staff, and contribute to service improvement and innovation.

Job description Job responsibilities
Manage all clerical support staff working within the Outpatient Therapy Services Team, ensuring a high-quality service is delivered. Review existing administrative processes, policies and procedures. Develop and implement new working practices and procedures to ensure the efficient running of the administrative function to the services. Organise and manage the administrative processes that support the Head of Therapy Services and Deputies, the team leaders and members within all therapy services. Manage and monitor compliance with mandatory and statutory training, performance reviews, sickness and absence maintaining information on eSR system and eRoster where applicable. Ensure therapy clinical teams are provided with appropriate administrative support to contribute to the ongoing development of the service they support. Have a delegated budget for identified administrative staff within the service. Ensure administrative staff receive appropriate training for the computer packages they need to use on a day-to-day basis. Manage specific pieces of work as required by the Head of Therapy Services and the Senior Leadership Team. Support the review of Service Level Agreements this will include collating data and liaising with external providers as required. Raise stock and non-stock orders for the admin team and Head of Therapy Services. Liaise with locum agencies and the Bank office for staff as required. Ensure a positive approach to customer care within the administration team. Promote the early resolution of complaints locally. This may include one to one meetings with patients and families with a view to reaching a timely and satisfactory conclusion. Act as a central point for the Therapy Team for queries and information on issues relating to operational management. Communicate with staff, clinicians, and external partners including sensitive and at times contentious information. To make a judgement regarding the identification and appropriate escalation of risks and issues for own work and that of the team, taking mitigating actions as required. To investigate and formulate a draft response to formal complaints and incidents within Trust timeframes for review and final approval by the Head of Therapy Services or Senior Leadership Team. To formulate and implement action plans resulting from complaints, incidents, investigations and risk assessments. To ensure that Governance assessments and registers are undertaken and recorded. To undertake regular audits to determine whether departmental standards are maintained. To formulate and implement action plans resulting from the identification of areas for improvement in relation to departmental standards. Provide the Therapy Team with timely and accurate reports and information relating to key Trust indicators and targets. Lead and deliver specific pieces of work or projects relating to the departments administration agenda. Be responsible for prioritising and organising a large and busy workload, planning activities for self and others. Will work independently and as part of a team, seeking clarification from management and stakeholders only when necessary

Qualifications/Training Essential
Degree level or equivalent obtained through educational attainment/experience Advanced skills in Microsoft: Excel, Word, Outlook, Powerpoint & Publisher
