About this role

Job summary

To provide reception and ward clerical support within the department and Administrative teams. To liaise with patients, staff and other departments, both internal and external to the organisation, to facilitate the smooth running of the departments.

Additional working pattern details: Mon - Fri with some weekend working expected 9-5pm

Main duties of the job

Excellent communication/interpersonal skills for dealing with people internal and external to the organisation, for example patients, relatives and staff.

Good organisational skills for prioritisation of own work.

A professional telephone manner for dealing with patient queries and liaising with Health Professionals both internal and external to the organisation.

Empathy and compassionate approach to dealing with patients and relatives who may be distressed, worried or angry, on the telephone or face to face.

Ability to work autonomously as well as collaboratively as a team and to provide cover for colleagues during absences.

Basic understanding of the common office computer software to include Word, Excel and Outlook.

Previous administrative experience or experience of working within a hospital/medical setting

Job description Job responsibilities

Movement of medical notes on a daily basis (Manual Handling training provided). This can range from one set of notes to bags weighing up to 8 kgs.

Use of Visual Display Unit on a daily basis (workstation assessments undertaken), will be sat at a desk for a large percentage of the day but will be required to walk to other areas of the hospital site e.g. collecting notes, passing on information etc.

Dealing with sensitive and confidential information.

The work pattern is unpredictable due to interruptions from telephone enquiries and visits from staff. Priorities often change during the day.

Post holder must plan their own workload with little or no direction from others to ensure the best outcomes for the patients.

Autonomous working conditions. Supervised by the Supervisor who is available to assist with any problems.

Exposure to unpleasant smells/odours from patient procedures taking place in the Endoscopy department.

Person Specification

Qualifications Essential

Educated to GCSE level - Minimum Grade C in Maths and English Experience of Microsoft Office, including Outlook, Word, Excel and PowerPoint

Experience Essential

Proven administrative experience including initiating and maintaining office systems Experience of handling telephone enquiries Experience of planning and organising administrative tasks Experience of managing own workload

Knowledge/ Skills Essential

Clear communicator with excellent writing, data entry and telephone communication skills. Capable of constructing and delivering clear information/instruction to a wide range of people. Ability to work effectively as part of a team and able to work autonomously, working to tight deadlines. Excellent attention to detail with ability to input data accurately
