Staffordshire and Stoke-on-Trent Integrated Care Board To provide a high quality, confidential and comprehensive reception and administrative service for patients and visitors attending the Walk in Centre and Minor injuries Unit, supporting them with any queries.
Nature of the Service
The Walk in Centre and Minor Injuries Unit provide a Minor Injuries/Minor illnesses service operating 365 days a year 7am-10pm.

Registering patients upon arrival in a timely manner, being the first point of contact for our patients.

Job description Job responsibilities
To provide a high quality, comprehensive reception services for service users
Booking patients into the Centre (directing to kiosk booking system if appropriate)
Dealing with telephone enquiries professionally and redirecting appropriately (111 etc.) and communicating what services we offer
Photocopying/faxing documents/notes when required
Ensure accurate records are kept paper or electronic
To use the Hospital systems (CareFlow, iPortal, Spine, WASP etc.)
To undertake filing, extracting notes and other documentation as required or requested
Directing patients to other departments within the hospital when required
Producing word-processed documents, letters etc.
Effective communication to understand and overcome barriers when dealing with the public
To ensure that standards are maintained and Trust policies are adhered to
To escalate any queries to the Office Manager
To receive supervision and complete work delegated by the Office Manager
To check that the waiting room and kiosk foyer area are always clean and tidy and reporting any issues in a timely manner
Responsible for safe use of equipment and reporting any maintenance issues
To collect prescription charges as and when required
To support new starters in demonstrating routine reception activities and processes
To complete staff surveys as and when required
To book appointments for patients to the Hand & Fracture Clinic and Central Treatment Suite
To scan referrals through to the Ear, Nose and Throat (ENT) Department

Person Specification
Experience Essential
Proven experience of working in a face-to-face reception environment Level 2 functional skills or equivalent in English and Mathematics
Desirable
Previous reception experience within a healthcare setting NVQ I or II or its equivalent in Customer Care.
Skills Essential
Standard in the use of Microsoft office: Word, Excel.
