Job summary

The North London Forensic Collaborative (NLFC) is a Provider Collaborative formed of five mental health trusts; North London Foundation Trust (lead provider), East London Foundation Trust, West London Mental Health NHS Trust, Central and North West London Foundation Trust, and North East London Foundation Trust.

The North Central and East London Child & Adolescent Mental Health Service Provider Collaborative (NCEL CAMHS PC) is formed of four NHS Trusts and one independent sector provider with East London Foundation Trust as the lead provider.

Both provider collaboratives have a delegated budget from NHSE through which it funds all forensic provision for the population of North London. Much of this funding is directed into providing inpatient care however; there are a number of placements commissioned within other NHS and independent sector providers.

Main duties of the job

We are looking for a competent team administrator to join the North London Forensic Collaborative, to provide an integrated and comprehensive administration role to support the collaborative. The role will include an extensive amount of minute taking, excel use, regular data input, data cleansing, maintenance of records and databases, providing annual leave and sickness cover for the administrators within the collaborative team (Senior Information officer and Information Officer for the LD/ASD Team).

The post holder will be an active member and contribute to the effective operation of a multi-disciplinary team. Your dealings with matters relating to clients and staff is of a highly confidential nature and should not be divulged to another or discussed with other colleagues other than as necessary within the context of your role.

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. Job description Job responsibilities

Overview of the Post

To organise, attend and take minutes and actions liaising with attendees to confirm arrangements made and make necessary room-bookings for weekly and monthly collaborative meetings. This will include chasing necessary team members for required papers and updates on actions. Additionally helping to create agendas and circulating papers ahead of meetings.

Use the National Case Management System (NCMS) to ensure all patient information is up to date and accurate, running monthly reports ready for the business information team to reconcile this information with NCDR Reports. Additionally, using NCMS as a reference tool to compare to NCDR data and Provider information.

Responsible for ensuring that the internal and external databases are kept up to date, ensuring all patients details are accurate. Meeting the monthly and weekly submission deadlines.

Assist with the organisation of Clinical Network Learning events, sourcing suitable venues to host the events including liaising with procurement/finance to ensure payment is made ahead of Clinical Network Learning events, organising the layout of the event and ordering lunch/refreshments.

Be responsible for the data entry and maintenance of the existing patient dataset

Ensuring New Admissions and Discharges are updated on internal and external databases

Supporting data entry and management across the collaborative

Responsible for uploading patient documents onto the internal share drive and the National Case Management System

To support other members of the admin team within own base as required.

Manage shared mailboxes, send emails received to relevant team members for action.
