About this role

Job summary

We are currently looking for 6 dynamic individuals who will support HIWM Project Managers delivering projects and programmes which aim to accelerate the introduction of Innovation into the NHS and Social care. The aim of our team is to influence the development of industry and NHS innovations and their evidence base to improve patient outcomes, value for the NHS and to grow the UK Health and Life Science economy. These are brand new roles in our organisation and previous NHS experience is not required.

Successful candidates will provide comprehensive, highquality administrative and coordination support across project governance, reporting, procurement, finance and communication functions. They will ensure programmes and projects run efficiently, meet deadlines and comply with project specific monitoring and documentation standards, working closely with internal teams, senior colleagues and key stakeholders to support the efficient and effective delivery of services.

Main duties of the job

Successful candidates will be responsible for coordinating meetings and service activity, managing diaries, appointments and work schedules, and acting as a central point of contact for Health Innovation West Midlands (HIWM) staff and external partners. This will include arranging and rescheduling meetings, maintaining accurate systems and records, preparing documentation, and providing administrative support in line with organisational policies and procedures.

The post holders will be required to exercise initiative and sound judgement, using acquired knowledge and skills to manage competing priorities, meet deadlines and resolve routine issues independently, while maintaining confidentiality and data protection standards at all times. They will provide a professional, responsive and customerfocused point of contact for colleagues and stakeholders.

Post holders will contribute to continuous service improvement, effective team working and the development of efficient administrative processes.

Person Specification

Qualifications Essential

* Knowledge of a broad range of administrative and coordination procedures and systems, including nonroutine processes, typically gained through training and experience to NVQ Level 3 in Business Administration (or equivalent qualification or experience). * Understanding of specialist terminology, organisational policies and procedures, and servicespecific requirements relevant to a corporate service environment. * Awareness of data protection, information governance and confidentiality standards, including relevant legislative and organisational compliance requirements.

Experience Essential

* Experience of working in a customerfocused or publicfacing role. * Experience of working in an administrative or secretarial role, with the ability to support service delivery effectively. * Demonstrable experience of using initiative and problemsolving skills to manage routine and nonroutine administrative tasks. * Understanding of the importance of confidentiality and information governance in a healthcare or public sector environment.

Desirable

* Experience of working in a busy environment * Experience of working in healthcare * Previous experience of transcribing formal minutes * Experience supporting projects, programmes or operational teams * Understanding of NHS processes is beneficial but not essential
