About this role

Job summary

Join our Engagement and Communications team and play a key role in supporting communications and engagement activity across the Health Board. You will help to inform, deliver and coordinate meaningful opportunities for communities across Hywel Dda to have their voices heard and influence service improvement. This varied role includes providing high-quality administrative and communications support, frompreparing agendas and taking detailed minutes, to maintaining records, managing databases, and supporting procurement processes to keep the team running smoothly.

You will act as a first point of contact for enquiries, supporting senior colleagues while managing competing priorities with confidence and initiative. You will also help plan and deliver engagement events and consultations, working with a wide range of partners, and take a proactive approach to promoting schemes and encouraging involvement from local communities. Main duties of the job

Working closely with colleagues and a wide range of stakeholders, you will assist in coordinating engagement and communication activities and events, helping projects run smoothly and effectively.

This is a varied and rewarding role where you will manage enquiries as a first point of contact, support meetings and consultations, maintain accurate records and systems, and contribute to continuous improvement across the team. You will also support financial and data processes, and play a key role in ensuring information is handled professionally andsensitively. Key responsibilities:

Provide comprehensive administrative support, using judgement to manage priorities Act as a first point of contact, handling enquiries professionally and bilingually Support engagement and communication activities, projects and communications with stakeholders Organise meetings and events, including agendas, minutes and logistics Maintain accurate records, databases and filing systems in line with policies Input and manage data across systems, producing basic reports as required Assist with routine financial processes, including invoices and procurement

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.

We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.

Person Specification

Qualifications and Knowledge Essential

Level 3 Qualification (e.g. A Level, AS Levels, NVQ3) or equivalent plus evidenced experience of working within an administrative role undertaking a variety of tasks and knowledge of specialist NHS/ Organisational terminology Strong administrative and digital skills, including accurate typing, confident use of Microsoft 365 (Word, Excel, PowerPoint, Outlook), and the ability to learn new systems and applications. General knowledge of the Health Board and NHS Wales Demonstrable CPD

Desirable

Knowledge and understanding of partnership working with local authorities and other public sector organisations Basic understanding of public and patient engagement principles, including awareness of how to involve communities, gather feedback and support accessible engagement activities under supervision.

Experience Essential

Experienced in using Microsoft packages including Word for word processing, email and searching the internet Experience of answering telephone calls and responding to email enquiries Experience of supporting formal meetings including creating agendas, taking minutes or drafting papers Experience of detailed minute taking and note taking on complex issues. Experience of setting up, maintaining and proactively updating databases and spreadsheets Experience of meeting and event co-ordination and organisation, ensuring appropriate equipment and documentation is available.

Desirable

Experience of online stakeholder management systems Experience of liaising with the general public or organising events Experience of Oracle ordering system Awareness of engagement methods, such as workshops and focus groups Demonstrate an understanding of accessibility issues Experience of working in challenging environment

Other Essential

Ability to be flexible to meet the needs of the service. There will be a requirement to work outside of normal working hours on occasions. During consultation/ engagement periods there is a requirement to travel to attend meetings and events across the health board area of Carmarthenshire, Ceredigion and Pembrokeshire. These meetings and events can take place in rural areas at unsociable hours. Welsh Speaker (Level 3) Listening/Speaking: Understand much of what is said in an office, meeting, etc. Keep up a simple conversation on a work-related topic but may need to revert to English to discuss / report on complex or technical information. Answer predictable or factual questions. Take and pass on most messages that are likely to require attention. Offer advice on simple job-related matters. Reading/Understanding: Scan texts for relevant information. Understand a fair range of job-related routine and non-routine correspondence, factual literature, etc. when standard language is used. Writing: Write a detailed / descriptive letter relating to my own job area but will need to have it checked by a Welsh speaker. Make reasonably accurate notes while someone is talking

Desirable

Ability to transport display equipment and documentation (at times large and heavy) to events and set up the venue or stands at engagement events. Welsh Speaker (Level 5) Listening / Speaking: Can understand everything that is said in the workplace and in a range of professional, technical or complex situations. Can take an active and leading role in discussions, meetings and conversations in Welsh, including giving detailed explanations, advice and information. Can adapt language registers appropriately for different audiences and situations. Can handle unpredictable questions and respond fluently without needing to revert to English. Reading / Understanding: Can read and understand complex texts in Welsh, including detailed reports, policies, guidance, specialist information, and formal correspondence. Can extract and interpret key information from a wide range of written materials with ease. Writing: Can write clear, accurate and well-structured Welsh for a wide range of purposes, including reports, minutes, formal correspondence, guidance, presentations and public-facing materials. Work produced requires minimal or no correction by a Welsh-speaking colleague.
