Millway Medical Practice is a large general practice located in the Mill Hill area of London providinga wide range of primary healthcare services. It serves the local community through both traditional appointments and digital healthcare services, aiming to deliver accessible, patient-centred care and promote the health and wellbeing of its patients.
Main duties of the job
The post holder will be responsible for managing patient registrations, deductions, monitoring and processing practice emails, maintaining accurate patient records, and undertaking a range of administrative duties to support the smooth running of the practice.
Patient Registrations and Deductions
Process new patient registrations accurately and in a timely manner. Manage patient deductions and transfers in accordance with NHS guidelines and practice procedures. Ensure patient demographic information is accurate and up to date. Resolve registration queries and liaise with patients and external organisations as required. Maintain confidentiality and comply with data protection regulations at all times.
Practice Email Management
Monitor and manage the practice's shared email inboxes. Respond to, action, or appropriately forward emails to relevant team members. Prioritise urgent correspondence and ensure timely responses. Maintain accurate records of email communications where required. Monitor and manage the practices NHS email inbox throughout the day. Forward clinical items to the appropriate GP, nurse, or admin team without delay. Maintain inbox organisation by using folders, flags, and consistent filing processes.

Job Summary
The post holder will be responsible for managing patient registrations and deductions, monitoring and processing practice emails, maintaining accurate patient records, and undertaking a range of administrative duties to support the smooth running of the practice.
Alongside registration duties, the Administrator will also be responsible for management of Millway Medical Practices NHS email inbox. Other administrative will be given from time to time for smooth running of the Practice.
Key Responsibilities
Patient Registrations and Deductions
Process new patient registrations accurately and in a timely manner. Manage patient deductions and transfers in accordance with NHS guidelines and practice procedures. Digital and Administrative Support
Update and maintain electronic patient records. Process incoming correspondence and clinical documents according to practice protocols. Support with processing E-consults as and when required Assist with data quality activities and record maintenance. Support administrative projects and service improvement initiatives as required.
General Administrative Duties
Provide administrative support to clinicians, managers, and the wider practice team. Prepare letters, reports, and other documentation as required. Assist with scanning, filing, document management, and record keeping. Participate in audits and data collection exercises when requested. Undertake other administrative duties from time to time to support the operational needs of the practice.

Qualifications Essential
Essential A - Previous administrative experience. B - Good IT skills, including Microsoft Office applications. C - Excellent organisational and time-management skills. D - Strong attention to detail and accuracy. E - Ability to work independently and as part of a team. F - Excellent communication and interpersonal skills. G - Understanding of confidentiality and data protection requirements.
Desirable
Desirable A - Experience working within General Practice or the NHS. B - Knowledge of NHS patient registration processes. C - Experience using GP clinical systems such as EMIS Web D - Understanding of NHS digital services and workflows.
