Job summary The Administrator plays a vital role in ensuring the smooth and efficient running of Northpoint’s Calderdale services. Working as part of a small, friendly, and supportive administrative team, the post holder will provide essential administrative support across all areas of the service. They will act as the first point of contact for clients, families, and professionals accessing Northpoint’s mental health and wellbeing support, whether by phone, email, or in person. The role involves supporting the day-to-day operations of the service, including accurate record-keeping, scheduling, and maintaining a welcoming and well-organised office environment. In addition, the Administrator will provide reception and facilities support, helping to create a professional, inclusive, and safe space for both staff and visitors.
Main duties of the job
The duties and responsibilities of the post will include
Manage communications with various stakeholders including professionals, families, and young people, including receiving and processing referrals, and supporting appointment booking and rearrangements.
Respond to or redirect general email and telephone enquiries, including those from external professionals, ensuring accurate and timely information sharing.
Manage, allocate, and input client and professional referrals as required, ensuring accuracy and confidentiality in data management.
Oversee client referral inboxes and provide administrative support for ongoing service monitoring and reporting.
Monitor the quality of data and liaise with the information gathering team and practitioners to support accurate record keeping and service delivery.
Carry out daily general housekeeping tasks and room set up, including opening and closing checks, coffee machine maintenance and dishwasher operation.
Assist with ordering and maintaining stationery, supplies, and small equipment, and support facilities tasks that keep the office safe, tidy, and well-equipped.
Help facilitate internal and external events, meetings, and training sessions, including arranging refreshments.
Manage the room booking system and provide support to new users.
Provide administrative support to managers and colleagues, including preparing correspondence and organising meetings or events.
Provide a warm, professional, and inclusive welcome to clients, families, and visitors accessing the service in person or over the phone.
Maintain a calm, welcoming reception space with up-to-date information and clear communication on health, safety, and wellbeing.
Due to the nature of this role, the post is office-based only at Northpoint’s Halifax premises. There are no hybrid or remote working options for this position, as the role requires regular in-person interaction with clients, colleagues, and visitors, as well as hands-on support for administrative, reception, and facilities tasks.
About us
Northpoint is commissioned to deliver a range of children and young people’s mental health services in Calderdale. Our services include the First Point of Contact (FPoC) – the single point of entry for all mental health referrals and requests for support for children and young people, as well as for autism and ADHD assessments.
We also provide the Calderdale Mental Health Support Team, which supports students and staff in schools, and the Getting Help therapeutic service, which offers mental health interventions for young people. Many clients attend sessions in our purpose-built, modern offices in central Halifax.

You will join us on a part time , permanent basis (21 hours per week) with a FTE salary of £25,400 – £27,560

As an Administrator, you will be a key part of a small and friendly team, supporting the smooth and efficient running of services and acting as a first point of contact for those accessing support.
You will be responsible for:
Acting as a first point of contact for clients, families and professionals, both in person and via phone/email Managing and processing referrals, including booking and rearranging appointments Monitoring and maintaining inboxes, ensuring timely and accurate responses Recording and maintaining accurate, confidential data and client records Supporting reporting, data quality and service monitoring Providing reception and front-of-house support, ensuring a welcoming and professional environment Managing room bookings and supporting meetings, events and training sessions Supporting general office and facilities tasks, including maintaining supplies and shared spaces Providing administrative support to managers and colleagues across the service Please note: this is an office-based role at our Halifax premises, due to the nature of the work and the need for regular in-person support, Monday will be an essential day, the other two are flexible.

Experience in an administrative or office support role Strong organisational skills and the ability to manage competing priorities Excellent attention to detail and accuracy Confident communication skills, both written and verbal Good IT skills, including Microsoft Office systems Understanding of confidentiality and data protection principles A proactive, flexible and solution-focused approach Ability to work both independently and as part of a team A friendly, professional approach when working with clients and colleagues Experience in a health, education, or charity setting would be beneficial but is not essential.
