Job summary
We are looking for an enthusiastic, caring and motivated Receptionist / Administrator to join our friendly team at our newly refurbished GP practice, serving over 11,500 patients.
As a member of our Reception and Administration Team, you will be one of the first points of contact for patients and visitors, providing a professional, welcoming and efficient service. The role includes managing patient enquiries, booking appointments, undertaking administrative tasks and supporting the wider practice team to deliver high-quality patient care.
A minimum of 25.75 hours per week is required. The successful candidate must be able to cover the following core shifts:
Monday: 07:45 13:30Tuesday: 13:30 18:30Wednesday: 13:30 18:30Thursday: 13:30 18:30Friday: 13:30 18:30These core hours are essential and must be covered. Additional hours may be available, up to a maximum of 37.5 hours per week, for the right candidate. Main duties of the job
The successful candidate will provide a professional and efficient reception and administrative service, acting as a first point of contact for patients, visitors and healthcare professionals. Duties will include answering telephone calls, greeting patients, booking and managing appointments, processing patient registrations, handling enquiries, scanning and filing documents, and supporting the day-to-day administrative functions of the practice.
The role requires excellent communication, organisational and IT skills, with the ability to work effectively in a busy environment whilst maintaining a high standard of customer service. The successful candidate will work closely with colleagues across the practice to support the delivery of safe, high-quality patient care and ensure a positive experience for patients at all times.

Job description Job responsibilities
The successful candidate will provide a professional, efficient and courteous reception and administrative service to patients, visitors and healthcare professionals. As a key member of the Reception and Administration Team, they will support the smooth day-to-day running of the practice and contribute to the delivery of high-quality patient care.
The role involves acting as one of the first points of contact for patients and visitors, providing a welcoming, professional and efficient service at all times. Responsibilities will include receiving and assisting patients, answering telephone calls, responding to enquiries, booking, amending and cancelling appointments, and signposting patients to the most appropriate service where required.
The successful candidate will undertake a variety of administrative duties to support the effective operation of the practice. This will include processing patient registrations, maintaining accurate patient records, scanning and filing documentation, processing incoming and outgoing correspondence, and supporting clinicians and the wider practice team with administrative tasks as required. All work must be completed accurately, efficiently and in accordance with practice policies and procedures.
The post holder will be expected to deliver excellent customer service, maintain confidentiality at all times and contribute positively to a supportive team environment. They must be able to work effectively under pressure, manage competing priorities and adapt to changing demands within a busy healthcare setting. Flexibility will be required to provide cover for colleagues during periods of annual leave and other absences.
The ideal candidate will have previous customer service experience and excellent communication and interpersonal skills. They will possess strong organisational skills, attention to detail and good IT skills, together with the ability to learn new systems and technologies. Experience of working within a healthcare setting and knowledge of SystmOne would be advantageous but are not essential, as full training will be provided.

Person Specification
Qualifications Essential
Good standard of general education, including GCSEs (or equivalent) in English and Mathematics, or equivalent experience. Good level of IT literacy, including experience of using Microsoft Office applications and email systems.
Desirable
GCSE (or equivalent) qualifications in English and Mathematics. SystmOne training or certification.
