Job summary
The Medical Specialties Division is seeking to recruit a full-time Administration Coordinator to join the administration team supporting Rheumatology on a fixed-term contract for 12 months due to limited funding.The postholder will be proactive with strong communication and IT skills and the ability to effectively prioritise their own workload as well as support others in response to the changing demands of the team and service.
Main duties of the job The postholder will have key working relationships with all members of the administrative and clinical teams including medical staff, allied health professionals and support workers. They will act as the first point of contact via phone and email in communication with patients, relatives and GPs and external hospital staff. The postholder will be responsible for being the face of the Rheumatology team, assisting patients with queries and their ongoing care, as well as working with the wider team on bookings, scheduling process development. This post reports into the Rheumatology Administration Team Leader, and will help contribute to proactive solutions for routine challenges.The ability to manage a busy and varied workload is essential, alongside excellent written and verbal communication skills and strong interpersonal skills.This is an excellent opportunity for someone looking to begin a career in NHS administration or those already working within the NHS who are seeking a new challenge. Person Specification
Knowledge and Qualifications Essential
Educated to GCSE level or equivalent, with Grade C or above in English and Maths. Knowledge of administrative procedures, acquired through training and/or previous experience of working in an administrative environment. Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
Desirable
NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
Experience Essential
Experience of working in a non-routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent). Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.
Desirable
Previous NHS experience, or experience of working in a healthcare setting.
Skills and Abilities Essential
Advanced keyboard skills, and competent use of IT
Communication Essential
Able to communicate clearly and sensitively with a wide range of patients, in situations where there may be barriers to understanding (e.g. language difficulties, anxious or distressed patients or relatives).
