Craneswater Group practice are seeking a Business and Operational Management support assistant to work within the practice
This is an exciting opportunity to work closely with and supporting the Management team within our busy GP Practice
This position is part time and is worked over two days on a Monday and a Wednesday and is for 12 hours per week
Main duties of the job
The main duties of this role is to work closely with the Operational/Business Manager supporting them with the day to day running of the practice.

Craneswater Group practice is a stones throw from Southsea seafront. Our dynamic team is made up of over 40 staff with five GP Partners, Three salaried GPs and three ANPs. We also have three Practice nurses and three HCAs. We have three managers and a list size of 11,500 patients worked over two sites. We are a training practice.

Job Title: Business and Operations Support
Job Purpose
To support to both the Business and Operations Manager in the effective day-to-day running of practice operations. The role ensures operational systems run efficiently, policies and procedures are implemented correctly, staff are supported and informed, and the practice environment remains safe, compliant, and patient-focused.
Key Responsibilities
Business Management Support
Maintaining & reconciling the practice petty cash system
Raising invoices to the PCN
Assisting with year end accounts
Helping to maintain practice accounts using Xero
Practice banking
Stock control - Stationary, refreshments & surgery supplies
Assist Business Manager with projects when required
Operational Support
Support the Operations Manager in implementing, reviewing, and amending practice policies and protocols, ensuring changes are communicated effectively and adhered to by staff.
Assist in reviewing, updating, and maintaining operational systems to ensure they always function efficiently.
Deputise for the Operations Manager in their absence.
Liaise regularly with the Operations Manager regarding staffing issues, workflow organisation, and operational improvements.
Team Leadership and Staff Support
Facilitate collaborative and multi-disciplinary team working across the practice.
Motivate and support staff to maintain high standards of performance and patient care.
Organise and chair regular PPG meetings where appropriate with Operations Manager
Ensure appropriate level of support and training is implemented for any change brought by internal or external sources along with the Operations Manager and Admin Manager.
Compliance and Governance
Maintain up-to-date knowledge of Data Protection regulations and Health & Safety requirements.
Ensure practice operations comply with relevant policies, regulations, and safety standards.
Support the implementation of appropriate training and guidance when operational changes occur internally or externally.
Patient Experience
Handle patient enquiries and complaints professionally and efficiently in conjunction with Complaints Officer and Operation Manager.
Promote a high level of patient satisfaction and escalate concerns to the Operations Manager when appropriate.
Facilities and Equipment Management
Liaise with the Operations Manager regarding cleaning, maintenance, and security across both practice sites.
Oversee repairs and building maintenance relating to the practice
Support routine maintenance and testing of clinical equipment, liaising with the Nurse Lead where necessary.
Liaise with Operation Manager regarding cleaning, maintenance and security of the Practice of both sites.
To oversee with Operations Manager routine maintenance of all Practice clinical equipment and other liaising with the Nurse Lead at times of periodical testing.
Procurement and Supplies
Oversee the ordering and stock management of all non-medical and medical supplies required for practice operations.
Organise the ordering of all parking permits
Person Specification
Qualifications Essential
GCSE grade A to C or 4 in English and Maths
Desirable
NVQ level 2 in Business Administration
Experience Essential
Experience of working in a GP Practice Experience of working with the public
Desirable
Experience of using System one
