Main duties of the job

Surrey and Borders Partnership NHS Foundation Trust is looking for someone who will be Responsible for the day-to-day support for managers and applicants through the recruitment and on-boarding processes within SABP. Ensuring that recruitment and ESR processes are completed safely, accurately and within the service's key performance indicators. Provide assistance to the HR Department by dealing with routine HR queries, organizing and minuting meetings, including employee relations hearings, and provision of general administrative support to the HR Team.

This role is working within i-access, a successful, countywide drug and alcohol treatment service for Surrey residents delivering tier 2, 3 and 4 substance misuse interventions across 3 main bases and 25 satellite locations. i-access is run collaboratively by SABP, PH / SCC and Via under a cooperative agreement which is one of partnership and transparency and contributes to Surrey Heartlands wider strategic ambitions.

Job description Job responsibilities

Responsible for the end-to-end processing of recruitment from contacting managers to recruit to their vacancy posts on receipt of leaver notifications and to ensure that jobs are advertised within agreed KPIs. Ensure all recruitment documentation is issued in the correct format with relevant inclusions or exclusions and ensure that they meet Trust branding requirements. Validate interview panel scores taking into account applications from those with a protected characteristic to ensure that selection has been fair and equitable. Support the Recruitment Administrators to ensure that they process all NHS Mandatory pre-employment checks thoroughly and in line with the Recruitment policy and procedure. Responsible for ensuring thorough investigation of information provided on application form is true and correct, through use of own initiative in seeking confirmatory sources of information. Responsible for ensuring the work output is of high quality and carried out to a high standard, ensuring that all recruitment administration is carried out in a timely manner, meeting internal deadlines, quality standards and KPIs, relevant national frameworks and legal requirements. Ensure that all ESR input is completed accurately and in line with the payroll deadlines for staff to be paid correctly and on time. Responsible and accountable for ensuring that the appropriate level of Disclosure and Barring Service (DBS) check is carried out for all applicants Completion of positive DBS risk assessments for review by HR Business Partner. Responsible for ensuring all manual and electronic records on vacancies and candidates are continually maintained and filed correctly and in accordance with Trust guidelines. Advise and coach recruiting managers on recruitment process and best practice as necessary (such as DBS, United Kingdom Visas and Immigration (UKV&I), employment checks and Trust requirements). Assist the Recruitment Specialist and Recruitment Advisers in the review of processes, procedures and systems to support continuous service improvements, developing, recommending, initiating and implementing changes to promote the use of up to date methods and technologies (where available) to improve quality control, efficiency and cost-effectiveness. Ensure that any information/new procedures/processes are implemented and applied consistently. Act as Registration Agent for issuing Smartcards in compliance with the CIS standards and for problem solving issues that arise for employees trying to use their Smartcard Advising, facilitating, coordinating and scoring assessments. Responsible for providing confidential administrative support to the HR team, including the organisation of meetings/events, providing support with HR hearings and assisting in HR processes. Deal with internal and external enquiries, sometimes difficult or sensitive, in a timely and appropriate manner with the aim of resolving the issue. Providing and receiving complex and sensitive information, both verbal and written. Organise meetings, identifying and securing suitable facilities and ensuring that the needs of the attendees are met e.g. catering arrangements; disabled facilities. Act as minute secretary for HR meetings with responsibility for preparation and distribution of papers, taking and transcribing of comprehensive and accurate minutes and ensuring that all relevant actions arising from meetings are dealt with as appropriate. Have knowledge of Trust systems such as ESR and SBS and accurately be able to enter/extract/amend information as appropriate Provide mutual support to the team during times of workload pressure Responsible for managing own workload and working independently or as part of a team; prioritising and organising workload to meet the demands of the directorate, including, photocopying, organising meetings, and providing hospitality as required. Compose non-clinical routine and non-routine correspondence for the Team. Work flexibly to support the team and ensure cover during hours of operation.

Qualifications Essential

Educated to A Level standard or CIPD Level 3 with 1 year experience in an HR environment or 3 years experience in an HR environment

Experience Essential

Experience of working in a recruitment or HR administration role Experience working in an office environment using Microsoft Office including Word, Excel and PowerPoint Good working knowledge of administrative processes e.g. electronic filing systems and formatting documents/reports Experience handling confidential information
