Job summary

An exciting opportunity has arisen to join the Pre Assessment Team as a Band 2 Clerk/Receptionist. We provide pre assessment services to the vast majority of surgical specialties across the Trust on the Royal Victoria Infirmary and Freeman Hospital sites.

Our Admin team provides an effective and efficient out-patient reception and administrative service within the terms and conditions of the NHS Guidelines, ensuring that a high quality of customer care is delivered.

Main duties of the job

As a member of the admin team you will be the first point of contact for patients entering the department, so excellent communication and customer service skills are essential. The main aspects of the role will involve checking patients in and out of our various clinics. Booking appointments via an electronic referral system and sending out letters, taking telephone queries from patients regarding their appointments and re booking and rescheduling appointments as required using the electronic patient record and appointments system.

Job description Job responsibilities

Provide an efficient and friendly reception service to patients and visitors, ensuring a high quality of customer care is delivered at all times. To participate in the registration process for all new out-patient referrals. To use judgement in the allocation and rescheduling of appointments ensuring that patients are allocated to clinics appropriately. Assist in the production of necessary documentation in support of out-patient clinics ensuring the presence in case notes of patients identification labels and other essential recording sheets. Deal with queries from patients promptly, make and receive telephone calls on matters relating to the allocation of appointments. Liaise with all departments on matters relating to out-patient activity. Liaise as necessary with Consultants / Nursing Staff etc to arrange appropriate clinic sessions and appointment allocation. Ensure the accurate collection of data requirements for statistical purposes. Including the recording of accurate appointment outcomes in line with NHS Guidelines and data accreditation requirements. Monitor and review appointment waiting times in clinic ensuring that the Sister is informed of any potential problems. Liaise with the Interpreting Service in the timely booking of interpreters for patients forthcoming appointments. Liaise with the North East Ambulance Service (NEAS) regarding the appropriate booking and use of ambulance transport. Participate in departmental surveys to improve standards of care.
