The Pay, Reward and Employment Relations directorate is responsible for a programme of work that through partnership working with trade unions and employers, and other national stakeholders including government, effective and relevant national terms and conditions and NHS pensions policy are maintained to support the attraction, recruitment and retention of NHS staff.
The work of the directorate ensures that national pay and contractual provisions are implemented correctly and consistently by NHS organisations and that employers views on matters relating to pay, contracts and pensions are represented at national level; the work of the directorate is also responsible for national collective bargaining machinery in the NHS (NHS Staff Council, the Joint Negotiating Committees (JNCs) and the NHS Pension Scheme Advisory Board).
Main duties of the job Reporting to a Programme Manager Medical Pay and Reward, and working in conjunction with other members of the team, the post holder will support delivery of the teams work through the coordination of meetings, events, and webinars, organising team travel and accommodation, drafting meeting minutes and supporting the development of communications, resources and web-based materials.

Providing high quality secretariat support for national meetings of employers and trade union representatives. This includes arranging meetings to suit multiple diaries and diary management for colleagues in the team, circulating confidential meeting papers, minute-taking, following up actions and maintaining membership records.Responsibility for answering queries from employers from our mailboxes in an accurate and timely way, providing excellent customer service. You will understand any problems, signpost to relevant online information and escalate within the team where appropriate.Responsibility for the maintenance of the teams section of the NHS Employers website. This will involve amending and updating the website as required.Raising purchase orders for authorisation using the electronic finance system and logging invoices, and providing input to the team budget tracker.Maintaining and updating the team quarterly work plan and specific project plans that support the requirements of the programme.Co-ordinating internal and external meetings such as team meetings, national forums and workshops, including date allocation, room booking, compiling and circulating agendas and papers, minute taking and arranging catering services.Working on the development of products, such as case studies, blogs, infographics, posters and other resources with support from senior programme officers and/or programme leads.
Person Specification
Experience Essential
Experience of providing administrative or secretariat support to individuals and/or a team. Experience of managing diaries, organising meetings and managing attendees. Experience of booking of meeting and/or event venues. Experience of working with sensitive, confidential materials. Experience/awareness of NHS and/or employment relations related topics, including the ability to deal with terms and conditions.
