Job summary
We are looking for an adaptable and compassionate Administration Lead to efficiently manage the administrative service that supports delivery of the locally commissioned service and Healthy Child Programme led by Public Health Nursing across Hertfordshire for families with babies, children/ young people.
Main duties of the job
Manage, develop and co-ordinate the Standard Operating Guidance processes within the team. Update Standard Operating Guidance as needed. Maintaining processes for Public Health Nursing Administrative staff and monitoring the performance and standards through reporting and appraisals. To supervise and coordinate the daily running of the Hub functions, effectively at all times and escalate concerns if gaps are identified. Line Management of a team of public health nursing hub administrators. To undertake pieces of delegated project work demonstrating the ability to work on own initiative for long periods of time, producing timely reports on the progress of such project work. Ensure effective communication between the Administration service and PHN clinical staff to ensure smooth Responsible for extracting and manipulating data to report activity produced by SystmOne. Actively participate in the appraisal process and to ensure appraisals are completed within timescales for all staff. Organise and manage delegated work effectively and be responsive to the changing needs of the service. Responsible for ensuring compliance with the Trust Corporate Business Guidelines by implementing and maintaining effective office systems and procedures, making maximum use of technology and delivery of the Green Agenda at HCT. Ensure that files and records are stored and retrieved appropriately in accordance with the Trust records management policy.

Person Specification
Qualifications and Training Essential
NVQ level 3 in Business Studies or Administration or equivalent knowledge or experience. Educated to G.C.S.E. or equivalent in English and Maths

Excellent written and verbal communication and interpersonal skills Excellent organisation skills with the ability to work under pressure and to tight deadlines Possess resilience to deal with any distressing and/or emotional demands of the role Strong organisational and prioritisation skills with the ability to work autonomously with minimal supervision Able to effectively escalate risk or incidents to ensure on-going patient care
Experience and Knowledge Essential
Experience of line managing, supervising and training staff. Confident and competent use of Microsoft Office and relevant administrative systems Experience managing confidential records and awareness of information governance Significant experience in administrative roles, ideally within health or public sector services. Experience of SystmOne or other electronic patient record systems Experience monitoring staff performance and participating in the appraisal process.
Other Requirements Essential
Hold a full, valid, UK driving licence and have access to a car to use for business purposes (unless you have a disability as defined by the Equality Act 2010)
