Job summary
The Ward Clerk plays a vital role in supporting the smooth and efficient running of the elective orthopaedic ward. As a key administrative point of contact, you will provide a professional and welcoming service to patients, relatives, and the multidisciplinary team.
You will be responsible for managing patient records, ensuring accurate data entry and timely updates on hospital systems, coordinating admissions and discharges, arranging transport, and supporting clinical staff with administrative tasks. You will also handle telephone enquiries, maintain ward documentation, and ensure all information is communicated effectively and confidentially.
Working closely with nurses, doctors, and allied health professionals, the Ward Clerk contributes to a safe, organised, and patient-centred environment. Strong communication, organisational, and IT skills are essential, along with the ability to prioritise workload in a busy ward setting.
This role requires attention to detail, a compassionate approach, and a commitment to high standards of patient care. Previous administrative experience in a healthcare setting is desirable but not essential, as full training will be provided.
You will be an integral member of the ward team, helping to deliver an efficient service for patients undergoing planned orthopaedic procedures.
Main duties of the job
You will provide comprehensive administrative support to the elective orthopaedic ward, helping ensure a smooth patient journey from admission to discharge. Key duties include accurately admitting and discharging patients on electronic systems, maintaining and updating patient records, and preparing documentation for planned procedures.
You will act as the first point of contact on the ward, responding to telephone calls and enquiries from patients, relatives, and staff in a professional and courteous manner. You will coordinate appointments, arrange patient transport, and liaise with departments such as pre-assessment and theatres.
Daily tasks include managing ward correspondence, filing, tracking notes, and ensuring all information is recorded in line with confidentiality and data protection standards. You will support the clinical team by organising documentation, preparing lists, and assisting with routine administrative processes.
The role requires you to prioritise tasks in a busy environment, maintain clear communication across the multidisciplinary team, and contribute to a well-organised, patient-focused ward environment.
