Job summary

An exciting opportunity has arisen for a Procurement Assistant to join the fast-paced and dynamic Outpatient Pharmacy team at University Hospital Coventry and Warwickshire.

The Procurement Assistant plays a vital role in supporting the timely sourcing and supply of medicines, ensuring patient needs are met while optimising cost efficiency and effective supply chain management. Working as part of a patient-focused service, the post holder will contribute to maintaining continuity of supply, minimising shortages, and supporting safe and efficient pharmacy operations.

The role requires a proactive and organised individual committed to delivering a high-quality customer experience, supporting the delivery of a safe, effective, and patient-centred service for patients and service users.

Main duties of the job

Exciting opportunity for procurement assistant to join a fast paced and dynamic team at the Outpatient Pharmacy, University Coventry and Warwickshire Hospital. A procurement assistant plays a key role in their ability to be able to source and procure necessary medications to meet patient needs whilst optimising costs and supply chain management. Ensuring efficient and high-quality customer experience is maintained to strive to deliver a safe, effective and caring service for patients and other service users.

SWFT Clinical Services is a wholly owned subsidiary of the South Warwickshire University NHS Foundation Trust (SWFT). The company provides a number of services such as outpatient pharmacy facilities at Warwick, Stratford upon Avon, George Eliot, University Hospital of Coventry and Warwickshire and St Cross (Rugby) hospitals; estates and facilities management at Warwick, Stratford upon Avon and Ellen Badger hospitals, Acorn House and Lillington Health Hub; private patient service and consultancy services to NHS Trusts.

Subject to the Company and individual's performance, an annual discretionary bonus will be awarded.

There is automatic enrolment to the Company pension scheme, with the Company contributing 5%.

Job description Job responsibilities

Undertakes the day-to-day work of the Pharmacy, which will include releasing orders, receiving & checking off stock.

Works alongside procurement lead to chase missing orders, to-follows, owing items and monitor stock shortages.

Ensures that paperwork is completed accurately and on time, communicates issues as appropriate, and attends meetings as required

Offers suggestions to improve the way we work utilising best practices.

Being made accountable for certain aspects of the role at the request of the line Manager.

Maintains excellent working relationships and good communications with patients and Trust employees. Contributes to the teamwork ethic so enabling the best possible service and care to patients

Ensures confidentiality of commercial and clinical information, which may relate to customers, staff, Company policies, prices, business information; and takes account of requirements of the General Data Protection Regulations, and Freedom of Information legislation

Manages their own personal training and development

Any other relevant duties and training requirements at the request of the line Manager.

Communications and Working Relationships:

Engender a customer first culture across the organisation ensuring high standards of professional customer service are delivered at all times within the pharmacy.

To provide a liaison service between users and suppliers to fulfil the customer need.

To effectively communicate and resolve queries, discrepancies and out of stock medicines.

To help train new members of the pharmacy team in the stock management processes and procedures.

Person Specification

Qualifications Essential

GCSE at C grade or above in Maths and English

Experience Essential

Previous outpatient pharmacy experience

Desirable

Previous procurement experience Previous hospital pharmacy experience Medical consumables product knowledge. Knowledge of Pharmacy ordering and stock Management systems incl. JAC Supply chain knowledge

Skills Essential

Proficient use of Microsoft Office packages (Outlook, Word, Excel etc.). Accurate data entry skills.

Personal Qualities Essential

Able to work well in a team Ability to work calmly and competently under pressure and achieve deadlines, escalating issues as required. Patient focused Confident and articulate Self-motivated and able to prioritise work to achieve deadlines without compromising quality. Able to communicate well with internal and external colleagues.

Other Essential

Requirement to lift and handle boxes of varying shapes, sizes and weights during the process of stock reads and put - away
