Job summary
The Team Supervisor will be responsible for ensuring a high standard of administrative and clerical support is provided to the outpatient clinics held within the Willowfield Outpatients Department.
The post holder will be responsible for supervising the clinic clerks/receptionists on a daily basis ensuring all clinics are prepared correctly and run efficiently and effectively. The post holder will work closely with the Assistant Service Delivery Manager to improve upon and develop, all aspects of the service including meeting and maintaining quality targets for the department. The post holder will use his/her previous experience and knowledge to prioritise the clerical team's workload and lead the clerk/receptionist teams.
To ensure that patient pathway is actively managed and any appointments are made in line with the Trust's Access Policy.

Main duties of the job
To prioritise own workload and use initiative to lead the clerical team, working as part of the team in providing support and cover during periods of annual leave and sickness.
To supervise the clerical staff ensuring that workload is distributed evenly across all areas, liaising with the ASDM when staffing issues arise.
To weekly prepare and sit a designated clinic if required. Spot check that AM/PM are clinics prepared in accordance with Prep SOP daily.
To assist with clinic cancellations/moves.
To produce Weekly clinic schedule for clinical room allocation.
To oversee Willowfield outpatients mailbox and action requests/distribute to relevant team members.
To assist ASDM with managing EPIC work queues and auctioning waiting list requests.
To ensure the correct use of EPIC/eRS/Call Forward/PTS/Envoy Messenger/NHS SPINE/Microsoft Package and other departmental databases by the admin and clinical staff ensuring accurate data is entered and clinics are cashed up correctly.
To deal with all enquiries/complaints from staff, patients and visitors.
To have the ability to work under pressure, maintaining a calm and reassuring attitude, have a flexible approach to work with the ability to cope with changes.
To work alongside the ASDM to ensure smooth running of outpatient clinics. To ensure the completion of 2WW and 18 week RTT outcomes.
To identify patients who may not be eligible for treatment and to liaise with the ASDM/Overseas Team.

Previous experience of working in a multidisciplinary Knowledge of Health Service initiatives ie; Patient agreed booking and ethnic coding and data collection
