Role Overview: We are a staffing agency seeking a detail-oriented Executive Assistant (EA) with a pharmacy background to provide high-level administrative, operational, and bookkeeping support. Our client is a leading healthcare education and consulting firm, dedicated to advancing the quality of care through expert-led training, advisory services, and operational support for healthcare organizations.
Key Responsibilities:
Provide comprehensive executive assistance to senior leadership, including calendar management, meeting coordination, and travel arrangements Manage bookkeeping tasks such as invoicing, expense tracking, accounts reconciliation, and basic financial reporting Coordinate communication between internal teams, clients, and partners Assist with preparation of presentations, reports, and educational materials Maintain organized records and ensure confidentiality of sensitive information Support special projects as needed in a fast-paced, mission-driven environment
Skills & Qualifications:
Previous experience as an executive assistant, administrative assistant, or in a similar support role Background in pharmacy (degree, certification, or substantial experience preferred) Familiarity with basic bookkeeping practices and accounting software (e.g., QuickBooks, Xero, or similar) Strong organizational and time-management skills; ability to prioritize and multitask Excellent written and verbal communication skills Proficiency with office productivity tools (e.g., Microsoft Office, Google Workspace) High attention to detail and commitment to accuracy Discretion in handling confidential information
Preferred:
Prior experience in healthcare, education, or consulting settings Bookkeeping or accounting background is a plus
