Department Information

The Procurement department is part of the Finance directorate. A team of 87 staff supporting Trust staff manage all Income and Expenditure. The Procurement team specialise in Port folio management, Supply Chain and non catalogue purchase.

Main duties of the job

1. Job Summary

Responsible for the provision of the Trust internal supply chain services e.g. Inventory Management System, receipts, distribution and/or Supply Chain (EDC) using computerised receipts, storage and/or bar-coded data capture systems.

Work in collaboration with clinical budget holders ensuring that the clinical supplies are managed effectively in line with end user requirements.

To follow the systems replenishment processes, escalating supply issues to the Trust Help Desk

2. Key Relationships

Internal: Divisional General Manager and clinical staff across the Trust, Procurement and Supply Chain colleagues. External: Suppliers of Medical Products, ie NHS Supply Chain, Courier companies, Contractors Further section

Job description Job responsibilities

1. Duties and Responsibilities

To be up-to-date with the Procurement Departments Supply Chain programme and procedures.

To receive stock, unpack and replenish stores (Omnicell SupplyX) or store rooms (remote access items and EDC) in relevant wards and clinical departments whilst ensuring that stock rotation is carried out continuously. Ensuring at all times that all stock management procedures are followed, including receipting in DataScope.

Transport supplies securely to different locations across the Trust.

Ensuring that all heavy and large supplies are transported safely, using the provided equipment.

Ensure that deliveries are correct against the requisition/ Purchase Order number, including unit of issue, investigate discrepancies and resolve queries.

To Arrange via the service supervisor, uplifts request credit where necessary for the relevant department.

Provide customer service as required to the role, including managing the Help Desk service.

Analyses data regarding stock levels, orders, deliveries, receipts, lost/damaged items, repairs or returns.

To participate/ comment on the development of all service policies and procedures relevant to the role.

Responsible for ensuring that the appropriate procedures, policies and legislation are followed at all times when transporting and storing contained hazardous substances.

Responsible for ensuring that all data is correctly entered onto the procurement Supply Chain systems.

Provide advice and guidance to ward/ department budget holder on how best practice for stock management, escalate to the department manager where required.

Advise ward/ department budget holders on any stock level changes required to ensure that they achieve an efficient stock management system, including participating in PAR level reviews.

To be responsible for annual stock takes in line with Trust requirements.

Responsible for meeting all of Stock management KPIs, including 100% scan EDC areas.

Responsible for stock rotation and expiry management on a monthly basis.

Responsible for reporting all expired lines to the Senior Supply Chain manager every month.

Responsible as required for training new staff as required, on EDC or Omnicell SupplyX system replenishment and management processes.

To assist ward and department managers in managing their purchases and levels of stock.

To operate as the liaison officer between ward and clinical departments and all sections of the Procurement Department.

To work with ward or dept staff to maximise cost effectiveness where conflicting priorities are the issue.

Person Specification

Qualifications/ Education Essential

3 GCSE's A-C, including being numerically competent. NVQ level 3

Desirable

Chartered Institute of Purchasing & Supply (CIPs) foundation stage equivalent experience

Previous experience Essential

Experience of working in a multi disciplinary supply chain environment ~ automated stock management systems, stock control, supplies delivery Experience in a customer services background and must be able to meet pre-set schedules and deal with queries efficiently.

Skills/Knowledge/ Ability Essential

Good communication skills written and verbal. Good listener, understand others' needs. Good interpersonal skills, liaise at all levels in the shared service, persuade and negotiate. Accurate and methodical approach. Problem solving skills, work on own initiative, work unsupervised. Experienced MS Office system user, including, Word, Excel and Access Ability to organise and prioritise own & teams workload and meet strict deadlines. Strong sense of quality, being able to lead by example, Achiever - makes things happen Accountable, takes responsibility for own work and supports others accomplishing their work.

Desirable

Knowledge of the Procure to Pay process, including Oracle e-Business systems receipting. Interpretation and Analytical skills of procurement data.

Physical Requirements Essential

Move between different areas of the hospital, move products, lift boxes, counting in different areas, repetitive tasks.
