Job summary

Working Part time: 22.5 hours per week

We are looking for an organised and proactive individual to support the smooth running of our AMD and non-AMD injection services.

In this role, you will manage patient waiting lists, schedule clinics and treatment sessions, and ensure accurate, timely data entry in line with Trust policies.Working closely with the Practice Manager and clinical teams, you will help prevent waiting time breaches, coordinate theatre and clinic capacity, and maintain clear communication with patients and staff. You will also handle enquiries, prepare documentation for audits and meetings, and provide essential administrative support to keep the service operating efficiently. This is a key role for someone who thrives in a fast-paced clinical environment and enjoys ensuring patients receive a seamless, well-coordinated experience.

Main duties of the job

Manage and monitor the AMD and non-AMD injection waiting lists, ensuring compliance with Trust policies and preventing waiting time breaches.

Oversee and update the daily PTL, correcting errors and escalating capacity issues when needed.

Accurately add, update, and maintain patient waiting list records, including admissions, cancellations, suspensions, and patient communication.

Schedule and amend clinic and treatment session appointments, coordinating patient numbers with staff availability.

Liaise with consultants and clinical teams to support theatre scheduling, case mix planning, and special patient requirements.

Ensure all DNAs, cancellations, and removals comply with Trust waiting list procedures.

Maintain accurate databases for AMD and non-AMD patients, providing data for clinicians, nursing teams, and finance.

Handle patient enquiries and service-related correspondence, referring complex queries to the nurse in charge.

Prepare documentation for audits, reporting, and meetings.

Provide administrative and secretarial support to the AMD and non-AMD services.

Order and maintain stock levels, including stationery, via the e-procurement system.

o The Countess of Chester Hospital: providing 473 general and acute beds.o Ellesmere Port Hospital: providing 60 beds as a rehabilitation, intermediate and outpatient facility.o Tarporley War Memorial Hospital: a base for community services which serve the local rural population.

Person Specification

Qualifications Essential

NVQ Level 3 in Business Administration or equivalent experience Minimum GCSE grade A - C English, or equivalent knowledge.

Knowledge and Experience Essential

IT literate Ability to use a range of IT applications to create reports and maintain information (i.e. Excel, Word)
