Job summary

We are delighted to offer an exciting opportunity for a motivated and enthusiastic Receptionist / Administrator to join our friendly and supportive team at Milehouse Medical Practice.

Milehouse Medical Practice is a small, family-focused GP surgery providing high-quality care to approximately 3,600 patients. Our dedicated multidisciplinary team includes GPs, a pharmacist, practice nurse, healthcare assistant, and an experienced reception and administration team. We are also proud members of Newcastle Central PCN.

This is a varied and rewarding role at the heart of the practice, where you will play a key part in delivering excellent patient care and ensuring the smooth day-to-day running of the surgery. The successful candidate will be welcoming, organised, adaptable, and able to work effectively in a busy environment.

Applicants with previous GP practice experience and knowledge of EMIS are desirable; however, we also welcome applications from candidates with strong reception, administration, or customer service experience from other sectors. Training will be provided where required, including support with systems such as Docman Workflow.

The position is currently part-time, with the opportunity to progress to full-time hours for the right candidate.

Main duties of the job

Welcome, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective manner

Provide assistance to the practice team and maintain a positive and friendly image to patients and visitors through a variety of communication methods

Undertake a range of administrative duties to support the smooth running of the practice

Provide administrative support to clinical staff and other members of the practice team

Facilitate effective communication between patients, primary healthcare staff, secondary care, and associated healthcare agencies

Ensuring compliance with all practice protocols and procedures

Managing appointments, including urgent requests and follow-up bookings

Monitoring the practice appointments system and resolving issues as required

Responding to patient enquiries and requests for assistance

Registering new patients and temporary residents

Receiving and making telephone calls, transferring calls, and taking accurate messages

Processing repeat prescriptions in line with practice guidelines

Entering and updating patient information on the clinical system

Sorting and summarising medical records

Liaising with patients, healthcare professionals, and associated agencies

Using Docman and Docman Workflow to manage correspondence, reports, and results (training can be provided)

Maintaining a tidy, organised, and welcoming reception area

Be flexible in providing holiday and sickness cover when required

Actioning computerised practice tasks

Registering new patients and temporary residents

Opening and securing clinical rooms as required

Person Specification

Experience Essential

Applicants should ideally have experience working within a GP practice and be familiar with EMIS; however, candidates with relevant experience from other settings will also be considered.
