Job summary

We are seeking an organised and motivated Administrator to join our Podiatry Service. This role is key to supporting the smooth running of clinics and providing excellent service to patients and staff.

You will manage appointments, respond to enquiries, maintain accurate patient records, support clinic preparation, order supplies, and provide general administrative support to the team.

The ideal candidate will have strong communication, IT, and organisational skills, with the ability to prioritise work in a busy environment. Previous administrative or healthcare experience is desirable but not essential.

Main duties of the job

Be the first point of contact for new referrals. Manage clinic appointments, cancellations, re-bookings, and patient enquiries using EPR systems. Maintain accurate patient records, registrations, and referral documentation. Monitor stock levels, order supplies, and process invoices. Ensure data quality, complete activity reports, and support audits. Respond professionally to patient queries, comments, and complaints. Maintain confidentiality and comply with Trust policies, GDPR, and Caldicott standards. Support health and safety, infection control, and equipment maintenance processes. Provide cover at other clinic sites when required and participate in supervision and training.

Job description Job responsibilities

The postholder will provide comprehensive, professional, and efficient administrative support to the Podiatry service, ensuring the smooth day-to-day running of clinics and supporting clinicians, managers, and wider departmental staff.

Acting as the first point of contact for referrals, the role is responsible for managing appointments, responding to enquiries, maintaining accurate patient records, and preparing clinics to enable effective service delivery.

The position also supports operational processes including stock control, data quality, reporting, and coordination across multiple clinic sites, while ensuring compliance with Trust policies, confidentiality standards, and health and safety requirements.

Person Specification

Knowledge and Experience Essential

Good standard of general education to include 5 GCSE (or equivalent) including English and Mathematics Experience of office / administration work Experience of using Microsoft Office, particularly Word, Basic Excel and Outlook Good working knowledge of Data Protection and confidentiality

Desirable

Evidence of completing Microsoft Office training

Technical Expertise / Competence Essential

Excellent communication skills, both written and verbal Ability to work accurately and to deadline with heavy workloads and prioritisation of tasks
