The Ophthalmology Failsafe Team at Royal Bolton Hospital has an opportunity for an enthusiastic, motivated and flexible individual looking for a challenge in a post that is both interesting and varied.

You should have the ability to work flexibly to meet the needs of the service, including covering for colleagues during absence and annual leave.

The ideal candidate will have knowledge and experience of working in a similar administrative environment.

Main duties of the job

To provide an efficient and effective reception service and associated function to all patients accessing services provided by the Trust.

Be the first point of contact in Reception and arrive/depart patients into the department in a professional, friendly manner

Excellent customer service skills, both face to face and on the telephone.

To work as part of a team and alone.

To be able to work under pressure in a busy reception area to meet deadlines/targets

Job description Job responsibilities

Arrive and depart patients on LE2.2 , ensure all procedure coding is completed and the correct RTT outcome status is completed .

Follow departmental DNA Policy in respect of any patient failing to attend clinic ensuring standard letters are sent where appropriate and that the information is entered on LE2.2.

Arrange face-to-face follow-up appointments at request of clinic staff taking care to record specific instructions and book to the correct condition clinics in line with booking protocols.

Populate DNA letters to patients/GPs for non-attendees.

Produce patient/GP clinic letters through Open Eyes following clinical evaluation outcome. Book interpreter/language line and link workers as necessary.

To provide day to day clerical support to the Failsafe Officers /Senior Booking teams.

Follow Health Records Services procedures for adding patients on an Outpatient / Day Case waiting List.

Respond to request for patients who require transport for their attendance at the hospital.

Escalate any patient safety / welfare issues immediately to line manager/supervisors.

Ensure enough stationery is available for the smooth running of the department.

Actively assist in promoting and fostering good working relationships both within and outside the Trust.

Participate in the implementation of new working practices

Person Specification

Qualifications and Experience Essential

English & Maths GCSE Grade 4/C or equivalent experience Customer Service Skills Reception experience

Desirable

Administration Qualification NHS experience in a busy hospital or similar setting Reception experience

Skills Essential

Able to prioritise workload Excellent written and verbal communication skills Able to work as part of a team and alone, using own initiative Ability to work to standards with a good level of attention to detail

Desirable

To work flexible to meet the needs of the Service Medical Records experience LE2 IT system experience Ability to work to deadlines/targets
