We are seeking a dedicated individual to join our friendly team on Pulteney Ward. This is a general surgical ward, we look after a range of different surgical patients and a lot of patients from ICU, whom have very complex needs.
In this role you will provide a comprehensive administrative, clerical and non-clinical support for the healthcare professionals who are involved in patient care. You'll be a key member of the ward team by supporting a patient focused and friendly environment.
You will have contact with patients, their relatives/carers throughout your shift, therefore you need to have good customer service skills and a friendly, polite manner.
We are looking for someone who can be flexible in the role so that individual needs of the ward are cared for. Training will be provided.

Main duties of the job
To provide efficient and professional administrative and clerical support This will include:
To welcome and greet patients and relatives in a friendly and courteous manner and provide relevant information to patients and relatives. To show patients and relatives where things are and what facilities they can use (when needed). To answer the telephone and respond to enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate. To liaise with nurses, Doctors, and other members of the team obtaining and communicating necessary information accurately to assist the provision of a quality service for the patients. To maintain an efficient filling system for tracking of health records. Maintain the admissions book, inpatient board and patient details/ appointments on the patient administration system so that there is timely and accurate information available at all times.

To provide an efficient and professional reception and clerical service which gives confidence to patients and their relatives, to include
To receive patients and relatives in a friendly and courteous manner and provide relevant information to patients and relatives clearly and in a way that patients and relatives understand.
To answer all telephone enquires taking and relaying messages in a polite and helpful manner, taking action as appropriate.
To liaise with Nurses, Doctors, GPs and other members of the department team obtaining and communicating necessary information accurately to assist the provision of a quality service for the patients.
To maintain an efficient system for the storage/tracing of health records within the ward.
To ensure that there is timely and accurate information available at all times on patients, both on the ward board and the computerised patient information system.
To support the nursing staff and other members of the multidisciplinary team in the efficient and courteous admitting and discharging of patients. Be aware of and assist in the maintenance of Trust quality targets in connection with waiting times.
To arrange follow up appointments and transport for patients as and when appropriate.
To organise the maintenance / repairs of equipment on the ward if requested.
To carry out other clerical duties as required, this will include the sending emails, filing of appointment letters, the opening and sorting of post, photocopying and laminating.
To assist in the ordering of ward stores and to maintain stock levels of stationery within the ward area.
To report all accidents and incidents to the nurse in charge. To ensure that hospital property is properly used and cared for.
IT assistance around the department.
Maintain photocopier, order stocks and arrange for service if broken.
Person Specification
Essential Essential
Experience working with patients and relatives Good communication skills, spoken English and written Experience working in a busy fast paced environment, with the ability to adapt quickly.
Desirable
Basic computer skills, ability to use Microsoft Office (Word, Outlook, Excel) Good telephone manner Good knowledge of Millennium and Capman

Ability to communicate effectively verbally and in writing at a range of levels.
