Job summary

Trinity Medical Centre is a forward thinking and friendly GP Surgery with an approximate list size of 6300 patients. We aim to provide a safe, effective and easily accessible range of health services to all of our patients within a friendly and confidential environment. Delivered by a dedicated caring team in co-operation with colleagues in other health and social care agencies. We are a busy Practice situated in the heart of South Shields. Our team is made up of 3 GP Partners, 1 Salaried GP, an Advanced Nurse Practitioner, 2 Practice Nurses, a Health Care Assistant, a Phlebotomist and a full complement of administrative staff. An exciting opportunity has arisen for a motivated individual to join Trinity Medical Centre Reception/Admin team. This is a very interesting but demanding position in the Practice, ultimately responsible to the Practice Manager but under the day to day supervision of our Office Manager.

The vacancy is for 22.5 hours per week worked over 4 days, Tuesday to Friday

Main duties of the job

We are looking for a candidate who is well organised with excellent communication and computer/keyboard skills. Knowledge of working in General Practice and using EMIS Web are desirable but not essential.

The main tasks will be

Accurate processing of repeat prescriptionsScanning and coding correspondenceSignposting patients to appropriate health care professionals Dealing with patient enquiries, both face to face and over the telephoneBooking appointments and home visit requestsProcessing incoming emails and patient TasksFront of house reception cover

Purpose of the Post

The Receptionist/Admin plays a key role as a member of the medical reception team in providing efficient, helpful and sympathetic care to Practice patients, developing skills in equating Practice protocols with patients demands. Through sensible use of initiative, flexible approach and working to consistent high standards of accuracy, they will provide valuable help and support to the Partners and all colleagues in the Primary Health Care team. You will be expected to manage, plan and prioritise tasks efficiently and effectively to achieve and maintain a high standard of patient care.

The Post holder will show total respect and regard to confidentiality of patient information at all times.

Person Specification

Qualifications Essential

Good standard of general education. Standard Grade English or equivalent.

Desirable

Standard Grade Mathematics or equivalent.

Behaviours Essential

Performing well under pressure. Adaptability to change. Team working. Self motivated Flexibility and reliable. Confidentiality. Awareness of potential conflicts of interest.

Knowledge Desirable

An understanding of a General Practice Reception environment. EMIS Web.

Experience Essential

Practical experience of general office work including answering telephones, providing a reception service and dealing with a range of admin tasks at the same time. Experience of using Microsoft Office. Experience of using own initiative. Experience of dealing effectively with the general public.

Desirable

Experience of working within a General Practice Reception environment. Practical experience of computerised recording systems.

Skills Essential

Excellent communication skills (Written and Oral). Must be well organised. IT and Keyboard skills. Ability to work under pressure while maintaining a positive professional attitude. Ability to follow procedures and work to deadlines. Ability to accurately process information. Ability to take accurate messages and follow up where necessary. Ability to work as part of a team.
