Job summary
We are looking for a motivated and organised Clinic Administrator to join our Operational Support team. This is a vital role at the heart of our outpatient services, ensuring clinics run smoothly and that high standards of data quality and customer service are maintained.
Working as part of a supportive and experienced team, you will play a key role in clinic diary management, coordinating clinic templates, supporting cancellations and re-booking activity, and ensuring patients receive timely, clear communication about their appointments.
You will also be required to provide flexible support across a range of administrative tasks within the department, including cross-cover for colleagues during periods of absence, to ensure continuity of services and maintain safe, effective patient care at all times.
This role is well suited to someone who enjoys working in a fast-paced environment, is confident using digital systems, and takes pride in delivering a high-quality service that makes a real difference to patient care.
The post is office based in our Outpatient Assessment Centre, Southwalks house, Dorchester, Dorset
Main duties of the job The post holders main duties include; Managing outpatient clinic diaries using the Patient Administration System (PAS) Creating, modifying and cancelling clinics in line with agreed guidelines Re-booking and rescheduling patients while maintaining access standards and targets Liaising confidently with operational teams, managers, and clinical staff Maintaining accurate patient data Handling patient and staff enquiries with professionalism, empathy and discretion Providing cross-cover and support to colleagues during annual leave, sickness or periods of high demand Undertaking additional duties commensurate with the role to support the effective running of the department.

EDUCATION, QUALIFICATIONS & TRAINING Essential
Educated to GCSE level or equivalent (English & Maths)
KNOWLEDGE & EXPERIENCE Essential
Clerical experience within the last 3 years Experience of working with computer systems, to include Microsoft Office in a working environment Customer service experience
Desirable
Experience of working in a healthcare setting in the last 3 years
SKILLS & ABILITIES Essential
Evidence of keyboard skills Evidence of ability to work on own initiative but also as part of a team Evidence of effective communication skills with all members of the multi-disciplinary team Evidence of ability to work within specified standards and timescales Evidence of ability to work within set guidelines and processes. Knowledge of PAS system and E-referrals or other database systems An understanding of the meaning of confidentiality and the requirement for this to be maintained Evidence of ability to respond quickly to changing priorities organising and prioritising own workload to meet deadlines Evidence of ability to share knowledge & skills with new members of the team and provide support on a day-to-day basis.
