Job summary

This is an exciting opportunity for an experienced Business Manager to join our supportive and forward-thinking team at Tanworth in Arden Medical Practice for 30-35 hours per week across 3 or 4 days.

Tanworth in Arden is a picturesque rural village located in Warwickshire; situated 12.5 miles southeast of Birmingham, 8 miles southwest of Solihull and 5.5 miles northeast of Redditch. Established 2021, the Practice is situated within private off road premises with on site staff car parking facilities.

This is an excellent opportunity to work in a welcoming and forward thinking GP Dispensing Practice that values teamwork, high-quality patient care and staff health and wellbeing.

Led by 3 GP Partners, we are a friendly team of clinical and non-clinical staff all working towards delivering high quality patient care.

You will be responsible for providing leadership and direction to our collaborative multidisciplinary team, working closely with our existing Operations Manager and Leadership Team.

Reporting to GP Partners, the successful candidate will be responsible for the strategic and financial management of the practice with a key focus on all aspects of HR and compliance.

Main duties of the job Key Responsibilities will include:

Strategic Leadership & Planning: Assisting Partners with business development planning to meet the Practice overarching vision and business objectives, external engagement with local PCN, ICB, neighbourhood teams, Patient Group, etc Financial management: Maximising revenue and income streams and reducing expenditure, overseeing NHS contract income, enhanced services, QoF/IIF targets and leading change to ensure success of the Practice utilising efficient ways of working Practice leadership: Overall direction and leadership for both clinical and non clinical teams ensuring the delivery of excellent patient services and continually working towards improving service delivery Workforce & Organisational Development: Lead in all aspects of HR management, including succession planning and performance management ensuring an effective workforce, ensuring compliance with training requirements and all aspects of employment law Governance & Compliance: Oversee adherence to Care Quality Commission (CQC) standards, health and safety regulations, and data protection (GDPR/DSPT) requirements.

Our current Practice Team consists of GPs including GP Partners, Nursing team including x2 GPNs and Healthcare Assistant, non-clinical staff including Operations Manager, Medical Secretary, Dispensary team, Care Coordinators and Receptionists.

We provide an effective and responsive service delivery model, supporting continuity of care and triage of patient needs. Our wider team includes a variety of ARRS roles, enhancing patient care and supporting GP workload.

We are part of Arden Primary Care Network (PCN), a key aspect of the Business Manager role will be to represent the Practice at PCN forums to ensure effective relationships with PCN Clinical Leads and supporting staff.

The postholder will ensure that the Practice operates efficiently, sustainably and in accordance with contractual, regulatory and statutory requirements. They will provide robust oversight of governance, finance, HR, risk, patient engagement and business planning, while supporting the Partners to achieve the Practice's strategic objectives and maintain high-quality patient services.

Main duties include:

CQC Compliance

Maintain strategic oversight of the Practice's compliance with Care Quality Commission (CQC) requirements and standards. Ensure that appropriate systems, policies, procedures and evidence are in place to demonstrate ongoing compliance. Ensure practice policies and procedure are reviewed and up to date. Coordinate preparation for CQC inspections, reviews and information requests. Maintain a clear compliance framework, identifying areas requiring action and ensuring these are addressed within agreed timescales. Promote a culture of continuous improvement, accountability and good governance and ensure staff awareness in priority areas. Contract Management

Maintain oversight of the Practice's contractual obligations, including the General Medical Services (GMS) contract. Ensure contractual requirements, deadlines and deliverables are understood and appropriately allocated. Monitor contractual performance and identify areas of financial, operational or service risk. Ensure the Partners are kept informed of changes to contractual arrangements and their potential impact on the Practice. Governance and Risk Analysis

Maintain the Partners' risk register and associated action logs. Identify and monitor financial, operational, workforce, contractual, regulatory and reputational risks. Ensure risks have appropriate owners, mitigation plans and review dates. Provide regular reports to the Partners highlighting significant risks, overdue actions and emerging issues and support the Partners in determining appropriate mitigation. Ensure good governance by ensuring decisions and agreed actions are recorded, monitored and followed through to completion. Provide regular reports to the GP Partners covering finance, workforce, compliance, risk and business objectives. Maintain an annual governance and compliance calendar. External Stakeholder Engagement

Build and maintain effective working relationships with the PCN, ICB, NHS England and other relevant organisations, representing the Practice at appropriate external meetings and forums. Ensure information from external organisations is communicated effectively to the Partners and relevant staff. Assess the operational and financial implications of PCN/ICB initiatives and contractual changes. Support the Practice in identifying opportunities for collaboration, service development and additional income, ensuring Practice interests and operational requirements are appropriately represented in external discussions. HR and Staff Engagement

Provide strategic oversight of the Practice's workforce, working with relevant managers and Partners to ensure effective people management. HR Responsibilities include recruitment, appraisal and professional development, oversight of capability, conduct and performance concerns promoting a fair, consistent and supportive approach to staff management. Ensure effective staff communication and engagement ensuring staff understand Practice objectives and how their roles contribute to organisational performance. Support regular staff meetings, briefings and engagement activities. Monitor staff feedback and identify areas for improvement. Identify opportunities to improve staff wellbeing, retention and morale. Support the Partners in developing a sustainable long-term operating model for the Practice by identifying workforce succession risks. Develop and maintain appropriate succession plans for key roles. Identify leadership gaps and requirements and development opportunities. Support discussions regarding partnership development, retirement planning and changes in Partner capacity. Promote business continuity and resilience. Ensure staff comply with training requirements. Finance and Performance

Provide strategic financial oversight of the Practice, working with the Practice's accountant and GP Partners. Monitor the overall financial performance and sustainability of the Practice. Support annual budget setting and financial forecasting. Monitor income, expenditure, cash flow and financial risks. Maintain oversight of Practice revenue streams and opportunities to increase or diversify income. Provide strategic oversight of Partners' drawings and cash requirements, in conjunction with the Practice accountant. Coordinate relevant information regarding Partners' pensions and associated financial matters. Monitor expenditure and identify opportunities for efficiency and value for money. Ensure appropriate financial controls and authorisation processes are maintained. Liaise with external accountants, payroll providers, pension advisers and other financial professionals as required. Patient Engagement

Develop and maintain an effective Patient Engagement Strategy. Oversee the Friends and Family Test (FFT), ensuring results are monitored, reviewed and acted upon. Support the development and effective operation of the Patient Participation Group (PPG). Ensure patient feedback informs service development and improvement. Identify themes and trends arising from patient feedback. Promote meaningful patient involvement in Practice decision-making and service development. Strategic Business Planning

Lead the development and implementation of the Practice's annual and longer-term business plan. Work with the Partners to establish clear organisational objectives and priorities, translating objectives into measurable operational plans. Establish appropriate KPIs and performance measures. Monitor progress against agreed objectives and provide regular reports to the Partners. Identify opportunities for service development, efficiency, innovation and income generation. Complaints

Act as complaints lead and ensure complaints are manged in line with Practice Policy. Review complaint themes and identify opportunities for learning and service improvement; significant complaints and trends are escalated to the Partners. Annual Submissions

Coordinate and oversee the Practice's annual declarations and submission requirements such as EDEC and NHS Data Security and Protection Toolkit (DS&P). Ensure compliance and oversight of the Practice's compliance with the NHS DS&P Toolkit. Ensure required evidence, policies, assessments and supporting documentation are maintained. Monitor information governance and data security risks. Ensure data breaches and incidents are appropriately recorded, investigated and escalated.
