Title: Student Groups Coordinator
Classification: Permanent Employee
Rate of pay: Starts at $36.14 per hour
Hours of work: 35 hours per week
Reports to: Associate Executive Director
Under the direction and supervision of the associate executive director, the student groups coordinator organizes resources and support for student clubs, academic student associations, and collectives. While the student groups coordinator will work closely with student groups’ leaders on a day-to-day basis, they ultimately share a reporting relationship with the executive director.
Duties
In particular, the student groups coordinator performs the following duties:
Student Group Operations
• Acts as the primary contact, resource, and support person for most student groups including student clubs (except for athletic, outdoor, and active clubs), associations, and collectives (except the Indigenous Students’ Union).
• Provides operational and logistical support to student clubs, collectives, and associations, including processing funding requests, space and equipment bookings, purchasing, contract approvals, catering orders, conference travel and accommodation bookings, and other student group operations.
• Advises and assists student groups in accessing resources, supports, and funds, including by assisting student leaders in developing annual activity budgets, preparing funding proposals, and navigating applicable approval processes.
• Organizes orientation and training sessions for executives of student clubs, collectives, and associations throughout the year to ensure that they have the information and skills needed to provide leadership and access resources.
• Working closely with the communications team, supports the development and execution of communications and outreach activities to promote student associations’ activities and the resources that we provide for student groups.
• Supports the planning and execution of student associations’ events, campaigns, and activities with resources, logistical assistance, navigating approvals, and ensuring adequate people support on the day of the event.
• Attends and resources student associations’ council and other student leadership meetings as assigned, and provides administrative support (such as preparing agendas, taking minutes, and taking care of meeting logistics).
Other Duties (10%)
• Acts as a resource and support person for assigned board, executive, and committee meetings, and acts as administrative lead and principal resource-person for assigned board committees.
• Participates in the training and development of student leaders and staff.
• Supervises support staff when working within their areas of responsibility.
• Works safely, in accordance with the CSU’s health and safety policy.
• Protects the personal information of coworkers, students, and the public.
• Performs other duties as assigned by the associate executive director.
Here's what it takes to be successful in this role
• In order to make sure that you have the knowledge base required to hit the ground running in this role, you would benefit from having a bachelor's degree or an equivalent educational background in a related field.
• You should bring at least two years of experience providing administrative support and organizing resources for multiple teams, groups, or constituencies in a non-profit, post-secondary, or youth-focused setting.
• There are a lot of moving pieces working in our office, and you can expect to deal with a high volume of queries to support students, staff, and visitors. This means our successful candidate must be well-organized, and be able to stay on top of a workflow that includes requests coming from a few different places.
• Depending on daily schedules, you might be working alone with minimal in-person supervision for several hours at a time, or you might be working in pairs or in groups on busier days or for specific projects or assignments. This means that our successful candidate must work effectively independently and in teams.
• You'll be corresponding verbally and in writing with students, staff, service providers, and community members all the time to share accurate information about the resources and services available through the Capilano Students' Union, and so our successful candidate must have excellent verbal and written communication skills.
• In a role like this, you will need to be comfortable relating to and coaching post-secondary students to learn and grow while fostering a culture that empowers student leaders to truly lead clubs, associations, and collectives.
