Contracts Administrator (100% Remote) Job DescriptionThe Contracts Administrator supports contract administration and compliance activities within an architecture, engineering, and construction (AEC) environment. In this role, you review contracts and project documents to verify payment terms, insurance requirements, and contractual obligations, approve subconsultant invoices, and maintain accurate vendor and contract records. You ensure all required documentation is current and compliant, collaborate closely with project teams, accounting, and external partners to resolve billing and contractual issues, and provide administrative support for corporate travel programs. This position plays a key role in ensuring project and legal documentation is properly maintained throughout the project lifecycle.Responsibilities

• Review contracts and project documents to verify payment terms, insurance requirements, and contractual obligations within an AEC environment. • Approve subconsultant and project-related invoices in alignment with contract terms and company policies. • Maintain accurate and up-to-date vendor and contract records, including key terms, documentation, and compliance information. • Ensure all required contract documentation is current, complete, and compliant with internal standards and external requirements. • Collaborate with project teams, accounting, and external partners to resolve billing discrepancies and contractual issues. • Perform data entry and contract administration tasks to support efficient tracking and reporting of contract-related information. • Support corporate travel programs by providing administrative assistance and maintaining related documentation as needed. • Help ensure project and legal documentation is properly organized, stored, and maintained throughout the project lifecycle. • Use spreadsheets in Excel to track, analyze, and reconcile contract and invoice data. • Work within a large-scale ERP system to process invoices, update contract records, and support financial and project reporting. Essential Skills

• At least 3 years of experience working within the AEC (architecture, engineering, and construction) industry. • At least 3 years of experience reviewing contracts, including verification of payment terms, insurance requirements, and contractual obligations. • At least 3 years of experience approving invoices, preferably subconsultant or project-related invoices. • Hands-on experience with contract administration and compliance in a professional services or project-based environment. • Strong data entry skills with a high degree of accuracy and attention to detail. • Ability to navigate and work confidently within spreadsheets in Excel. • Proficiency using a large-scale ERP system to manage contracts, invoices, and related records. • Ability to collaborate effectively with project teams, accounting staff, and external partners to resolve billing and contractual issues. • Strong organizational skills for maintaining accurate vendor, contract, and project documentation. Additional Skills & Qualifications

• Experience working in an AEC-focused contracts or project administration role. • Familiarity with insurance requirements and standard contractual obligations common in AEC projects. • Comfort working in a remote environment while maintaining clear communication and responsiveness. • Ability to support corporate travel programs through organized administrative processes. • Strong written and verbal communication skills for reviewing documentation and coordinating with stakeholders. • Proactive approach to identifying potential contract or billing issues and supporting timely resolution. Work EnvironmentThis is a remote position based in Eastern or Central Time zones, offering the flexibility to work from home while collaborating virtually with project teams, accounting, and other stakeholders. You will primarily work with spreadsheets in Excel and a large-scale ERP system to manage contracts, invoices, and related documentation. Pay and BenefitsThe pay range for this position is $25.00 - $29.00/hr.
