As an Administrative Assistant in Home Lending, you play a key role in supporting our leaders and ensuring smooth operations across the organization. You work collaboratively within a team environment, represent the manager and group with professional courtesy, and deliver flawless work output. Job responsibilities
Maintain complex and detailed calendars and screen incoming calls and determine the level of priority, using discretion in dispensing informationManage coordination and logistics for internal and external meetingsArrange and coordinate complicated domestic and international travel and organize all aspects of offsite conferences and external events, including catering and transportationProcess invoices and T&E expense claims for team members, ensuring compliance with policies and guidelinesAssist with staff onboarding and offboarding, including equipment setup and system access requestsProduce high-quality emails and messages to individuals at all levels of the organizationMaintain current organizational charts and Executive BiosHandle regular activities proactively and advise in advance of issues or delays and lead and coordinate ad hoc projects as requestedAssist in editing spreadsheets and presentations, including printing and binding for client meetingsWork cooperatively with the administrative assistants team to support each other smoothly Required qualifications, capabilities, and skills
At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or aboveAdvanced organizational skillsTact and good judgment in confidential situations, with proven experience interacting with senior managementStrong interpersonal, written, and oral communication skillsProficiency in Microsoft OfficeExcellent telephone etiquette and ability to manage competing priorities, including calendar management Preferred qualifications, capabilities and skills
Experience supporting executive-level leaders in a financial services environmentDemonstrated ability to coordinate complex travel and event logisticsFamiliarity with invoice and expense processing systemsExperience with staff onboarding and offboarding proceduresAbility to produce high-quality communications for senior stakeholdersProven success in leading ad hoc projectsStrong partnership skills within administrative teams
