Role Overview
Based in our Canby, OR office, the Receptionist/Administrative Assistant serves as our front-line representative, answering calls, greeting visitors, and responding to requests to support our fast-paced office. You will be responsible for executing heavy administrative and clerical work while collaborating closely with the administrative team, internal departments, and office visitors.
Please note that to ensure seamless front-office coverage during our core operating hours, this position operates on a fixed schedule of Monday through Friday from 7:00 AM to 4:00 PM, which requires reliable daily adherence.
Key Responsibilities
• Front-Line Reception & Communication: Answer direct phone calls appropriately on a very busy multi-line phone system, and greet and direct visitors and employees in a friendly manner.
• Mail & Package Logistics: Retrieve mail periodically from the Post Office, while opening, date stamping, and distributing incoming, interoffice, and delivery mail on a daily basis. Prepare packages for daily delivery through our shuttle service, USPS, UPS, or FedEx.
• Office & Facility Maintenance: Maintain the reception area, common areas, and kitchens in a stocked, clean, and tidy manner daily (including taking out garbage and recycling), while taking inventory of and restocking supplies.
• Document Management & Copying: Handle scanning and electronic filing of documents, and manage large copying/printing projects, often on a weekly basis.
• Administrative & Project Support: Assist the administrative team with daily tasks, support office team building events, and drive special project work as assigned across all departments (such as special mailings, photocopying, filing, and organizational projects).
Qualifications & Requirements
• Experience Level: Minimum 1 year of experience in a professional office environment, with multi-line reception experience considered a strong plus.
• Technical & Software Skills: Familiarity with standard office protocol, office equipment, and alpha/numeric filing skills, alongside experience in Word, Excel, Outlook, and Microsoft Teams.
• Core Competencies: Strong organizational skills, high attention to detail, ability to work well under pressure, willingness to support where needed, and solid task and time management skills to handle a fluctuating workload.
• Location & Licensing Requirements: Must have a clean driving record, consistent punctuality with a strong attendance history to support the required 7:00 AM–4:00 PM daily schedule, and the physical ability to lift, stand, reach, or bend for extended periods.
