Department: Network and Information Services & Administration Job Title: NIS & Early Childhood Financial Office Associate Education Level: High School Diploma required. Prior office experience or evidence of advanced training preferred. Knowledge and Experience:
• Knowledge of basic office equipment including computers, telephones, and copy/printers.
• Experience using Internet and computer desktop applications including productivity software (i.e., Google and MS Office suites).
• Understanding of basic finances, tracking expenses and maintaining budgets.
• Proficient in written and oral communication skills.
• Good interpersonal skills, with a focus on rapport-building, listening, and questioning skills.
Essential Functions of Position:
• Perform clerical duties as required.
• Performs accurate typing, data entry and computer skills.

• Monitors and orders office supplies.
• Assists with grant applications and processes financial claims.
• Prepares and processes contracts for presenters, trainers, and service providers.
• Maintains financial records.
• Assist with preparing, processing and maintaining records for grants.
• Communicates with districts throughout E-Rate application and funding process.
• Prepares and processes requisitions, purchase orders, visa orders, registrations,and travel arrangements.
• Processes mileage and expenditure reimbursement claims.
• Prepares accounts payable and accounts receivable source documents.
• Works with supervisors to comply with and maintain maintain grant and federal program guidelines.
• Demonstrates proficiency utilizing ODIE.
• Maintains accurate inventory records.
• Generates accounts receivable billings.
• Reconciles absence and travel requests.
• Prepares and manages workshops.
• Helps to support, add, create accounts for outside users.
• Inputs library items, manage and maintain library checkouts.
• Prepares and manage workshops.
• Assists with delivery coordination.
• Specific departmental duties/projects.
• Prepares and tracks orders for business equipment and workshop materials.
• Assists with department and program budget preparations.
• Manages department billing and supports all financial aspects in the NIS department.
• Manages workshop preparation including:
• Completing site and room reservations
• Ordering food, delivery, pickup, and set up as needed
• Preparing materials for participants
• Occasionally travels with EC Grant Coordinator and Coaches to support workshops
• Adhere to regular and dependable attendance.
• Other duties as assigned.
