Job summary We are looking for a motivated and organised Ward Clerk to join our Maternity Administration Team. Based primarily within Maternity Triage and Maternity Assessment Unit (MAU), you will provide a welcoming reception service, support patient flow and act as the first point of contact for women, families and healthcare professionals. This is a varied and rewarding role where you will play an important part in supporting safe, effective maternity care and ensuring patients receive a positive experience from the moment they arrive.
Main duties of the job
Provide a welcoming and professional reception service for women and families attending Maternity Triage and Maternity Assessment Unit (MAU). Act as the first point of contact for patients, visitors and healthcare professionals in person and by telephone. Register patient attendances and maintain accurate electronic patient records. Support patient flow by communicating effectively with clinical staff and escalating concerns where appropriate. Maintain a visible presence within the reception area and support the safe monitoring of patients awaiting assessment. Manage patient documentation, correspondence, shared inboxes and routine administrative tasks. Liaise with multidisciplinary teams to support the smooth and efficient running of the service. Ensure confidentiality is maintained and information is handled in accordance with Trust policies. Provide administrative support across maternity services as required to meet service needs. We are looking for someone with excellent communication and IT skills, strong organisational abilities, attention to detail and the ability to remain calm and professional in a busy environment.

Person Specification
Education and Qualifications Essential
GCSE Grade 4/C or above in English and Mathematics or equivalent qualification.
Desirable
NVQ Level 2/3 in Business Administration or other relevant subject or admin qualification. ECDL or equivalent IT qualification.
Knowledge and Experience Essential
Minimum of 6 months previous experience in an administrative or clerical role. Experience working directly with the public. Understanding of confidentiality and data protection requirements. Experience working in a busy environment with competing priorities.
Desirable
Experience within the NHS or healthcare setting. Knowledge of maternity services. Experience using NHS systems including IPM, E3, CRIS or similar. Understanding of patient pathways and appointment processes.
Skills and Knowledge Essential
Excellent communication and interpersonal skills. Good keyboard and IT skills. Ability to prioritise workload effectively. Good attention to detail. Ability to remain calm under pressure. Ability to work independently and as part of a team. Professional and compassionate approach when dealing with patients. Ability to recognise concerns and escalate appropriately. Flexible approach to supporting all maternity administration areas.
