We are looking for a proactive, hands-on Operations Manager to join our GP Practice. This role is perfect for someone who enjoys working alongside the team to ensure the smooth, safe, and efficient running of daily operations.

You will manage day-to-day operational activities, supervise staff, and actively undertake operational tasks yourself. This is a practical, people-focused role that is vital to the effective running of our busy practice.

Job Description Operations Manager

Job Title: Operations Manager Reports to: Practice Manager

Job Purpose

To provide hands-on operational leadership across the GP Practice, ensuring that daily services are delivered safely, efficiently, and effectively. The post holder will supervise and support staff while actively undertaking operational tasks alongside the team

Key Responsibilities

Operational Management

Oversee and actively manage the daily running of the practice. Carry out operational tasks such as managing appointments, patient communications and general administration activity. Implement and maintain practical systems, policies, and procedures. Monitor resources, equipment, and space to ensure smooth operations. People Management

Line Manage, supervise and support administrative staff excluding medical secretary and workflow team Undertake staff inductions, training, supervision, and performance management. Manage staffing levels, rotas, sickness absence, and cover as needed. Develop training guides and aims to consistency of approach to daily tasks Governance, Compliance and Risk

Ensure compliance with CQC standards, NHS regulations, and practice policies. Maintain health & safety, infection control, and data protection standards. Identify operational risks and take practical steps to resolve issues. Finance and Resources

Support basic budget and resource management. Assist with procurement and supplies management. Ensure cost-effective use of resources in daily operations. Communication and Teamwork

Act as a key point of contact for operational matters. Build effective working relationships with staff, patients, PCN colleagues, and suppliers. Provide practical leadership and support to the team on a day-to-day basis.

Qualifications / Training

Educated to degree level or equivalent experience in healthcare or operational management Leadership and / or Management Qualification Experience

Significant experience in an operational or management role Experience of working with the General Public Experience supervising staff and dealing with day-to-day operational issues Experience in handling practical operational tasks alongside management responsibilities Familiarity with the practice and its systems is highly desirable Knowledge and Skills

Strong organisational and problem-solving skills Ability to manage multiple tasks in a busy environment Excellent communication and interpersonal skills Confident decision-maker with practical approach to resolving issues Competent IT skills for daily operational use Personal Attributes

Experience in primary care, GP practice, or NHS setting Good standard of education, including GCSEs (or equivalent) in English and Maths Strong communication and interpersonal skills Ability to work effectively as part of a multidisciplinary team Good organisational and time-management skills Basic IT skills, including experience with clinical systems or willingness to learn Understanding of patient confidentiality and data protection principles Ability to work under pressure in a fast-paced environment

Desirable

Knowledge of CQC standards and NHS practice regulations Management qualification Experience in a busy patient-facing operational environment Knowledge of NHS systems and procedures Experience using clinical software such as EMIS Web, Docman Customer service or patient-facing experience
