Job summary
An exciting opportunity has arisen for a Safeguarding Business Support and Personal Assistant to provide the necessary administrative support across the integrated adults and children safeguarding services team, and in particular enabling the efficient and effective functioning of the safeguarding team and direct support for the Head of Safeguarding, Deputy and the Named Professionals.
Main duties of the job
Provide a full range of Administration duties to the safeguarding team, supporting the day to day functioning, including management of the teams electronic diary.
Management of Head of Safeguarding, Deputy and the Named Professionals electronic diary.
Direct line management Administration Assistants.
Supervision and management of other admin and clerical staff within the Integrated Safeguarding team.
Participation in the recruitment of admin and clerical staff, to include short listing ,interviewing and appointing.
To provide cover for other admin and clerical colleagues within integrated Safeguarding Services in periods of leave/absence
Provision of oversight and support with buildings management, based at IMPACT, RCHT, to ensure it remains in good decorative state and working order, also ensuring compliance with appropriate health, safety and security and fire procedures within the work area.
Use initiative and be proactive in introducing and streamlining systems in order to enhance the productivity of individual teams within integrated Safeguarding Services and aid the team to carry out safeguarding functions and statutory responsibilities.

oWork directly with the safeguarding senior management team, to oversee and take responsibility for safeguarding meetings, including governance, to ensure their efficient and effective functioning. oOrganise and promote Trust wide safeguarding events, i.e. conferences and awareness weeks. oIncreased knowledge of safeguarding functions through training and development to support the safeguarding team. oComprehensive communication skills to assist in the preparation of safeguarding documents, reports, letters and provide editing assistance to the wider integrated Safeguarding Services as required. oSustain high standards; meticulous accuracy and high level attention to detail. oCreating, maintaining and formatting of databases, inputting of information and data, recording activity and compliance. oManage generic emails boxes, post and direct telephone calls. oDissemination of safeguarding information to internal/external professionals, as directed, ensuring safe methods of communication are used at all times. oTaking minutes and information gathering to produce reports, agendas, general correspondence and presentation material using word, excel etc. oData collection and preparation for audits oAwareness of correct Trust procedures for filing, record keeping and alerts. oCommunicate with staff and other multi agency professionals in a confidential and sensitive manner. oLiaise with a wide range of internal and external personnel. oOrganise and plan own day to day workload or activities in order to meet the demands of the job role. oSelf-motivated to work without supervision with commitment to delivering services to a high standard.
