STATEMENT OF JOB:
Under the general supervision of the Hualapai Department of Cultural Resources management team, the Cultural Resources Receptionist is expected to perform general receptionist duties and assist Department staff in various tasks. Our office is a fast-paced environment and services the community of Peach Springs, AZ. The Receptionist will be a key staff member for interacting with the public and supporting daily business activities of the Department. This includes, but is not limited to, interacting with the community and public, answering the telephone and taking messages, assisting with department activities and events, clerical duties, and supporting staff in daily operations. Duties will require working some evenings, weekends, and holidays.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• The Receptionist position will report directly to the Administrative Assistant.
• Answers the telephone, screens calls, and takes messages and relays messages to appropriate staff in a timely manner.
• Prepares memos, tracks deadlines, and provides reminders for staff.
• Greets, gives tours, and provides interpretation to visitors and guests visiting the Cultural Center. Ability to present effectively to groups of all sizes.
• Provides support services to department staff with various tasks: makes copies, prepares flyers and posts flyers throughout the community, prepares for meetings and events, creates picture boards and dioramas.
• Handles food and assists with setting up for community activities and programs.
• Attends staff meetings, assists with recording and relaying accurate meeting minutes.
• Assists the Language Program Manager with Hualapai language instruction and other educational activities as a cross-training initiative.
• Helps maintain an organized and clean space at the Cultural Center.
• Performs other duties as assigned to maintain and enhance program operations.
• Must be dependable, responsible and willing to learn. Job duties requires efficiency, and thoroughness in completing work tasks in a timely manner.
• Must be able to effectively work with others to create a structured and organized atmosphere and exert effort towards mastering tasks.
• Maintains positive and upbeat attitude. Must be polite and pleasant to all visitors that enter the Cultural Center.
EDUCATION, KNOWLEDGE AND EXPERIENCE:
Education and Experience:
• Must possess a high school diploma or G.E.D.
• Must be 18 years or older, and have a valid driver license.
• Experience with clerical procedures and systems such as word processing, managing files and records a plus. Must be computer literate and willing to learn to be proficient in Word, Excel, and Access computer programs.
• Submit to and pass a pre-employment drug/alcohol screening and random test thereafter.
Knowledge, Skills and Abilities:
• Must be able to work a flexible schedule, some nights, weekends and holidays.
• Must have ability to obtain and maintain a food handler’s card.
• Must have good verbal, written, and computer skills.
• Knowledge of computer software programs, social media applications, email, and meeting applications.
• Knowledge of technology such as laptops, desktop computers, computer monitors, hard drives, printers, scanners, and keyboards.
• Knowledge of Hualapai (Native American) traditions and customs.
