Position Overview
The Industrial Services Co-Ordinator is responsible for coordinating and scheduling field operations for industrial cleaning and maintenance services, including vacuum truck work, confined space support, high-pressure water blasting, and hot wash services. This role serves as the central communication hub between clients, field crews, and management to ensure efficient job execution, resource allocation, and high-quality service delivery.
Key Responsibilities
• Schedule and dispatch crews, equipment, and vehicles to job sites based on service requirements, urgency, and resource availability.
• Coordinate vacuum truck operations (wet and dry), ensuring proper crew assignments, routing efficiency, and regulatory compliance for material handling and disposal.
• Support confined space operations by ensuring required personnel, permits, safety documentation, and equipment are in place prior to dispatch.
• Allocate resources for high-pressure water blasting and hot wash services, matching crew capability with job scope and site conditions.
• Act as the primary communication link between field staff and clients, providing updates on arrival times, job status, and any operational changes.
• Maintain real-time visibility of field activities, adjusting schedules as needed to address delays, emergencies, or shifting priorities.
• Prepare and review work orders, job tickets, and service documentation for accuracy and completeness.
• Ensure all dispatched work aligns with company safety policies and regulatory requirements.
• Track equipment availability, coordinate maintenance needs, and flag downtime issues to management.
• Assist in estimating job durations and resource requirements based on historical data and field input.
• Support billing and administrative processes by ensuring accurate capture of labor, equipment usage, and job details.
• Respond to emergency service requests and coordinate rapid deployment of crews and equipment.
• Other duties as assigned.
Qualifications and Experience
• Experience in dispatching, logistics coordination, or industrial services operations preferred. 2-4 years.
• Working knowledge of vacuum truck services, confined space requirements, and industrial cleaning methods is an asset. 2-4 years.
• Strong organizational and multitasking skills in a fast-paced, high-demand environment.
• Excellent communication skills with the ability to coordinate between clients, operators, and management effectively.
• Ability to prioritize competing demands and make decisions under time-sensitive conditions.
• Familiarity with dispatch software, GPS tracking systems, and Microsoft Office applications.
• Understanding health and safety requirements in industrial environments (e.g., WHMIS, confined space protocols) is an asset.
Working Conditions
• This position operates in a standard office environment with minimal physical demands. Work is primarily performed while sitting at a desk and using a computer for extended periods. The role may require occasional standing, walking, and light lifting (e.g., files or office supplies).
• May require extended hours, shift work, or on-call availability to support emergency operations.
• High-pressure environment requiring rapid response and decision-making.
