Job summary
This post is held by the Division of Surgery. Please note, post holders may be required to undertake this role in other Divisional Directorates and departments as needed. This is to support the delivery of the service and may be on a temporary or permanent basis.
The post holder will be responsible for ensuring all protocols are adhered to and undertake appropriate action in necessary adhering to RTT rules.
The post holder will plan, prioritise and organise theatre and clinic lists, taking into account such matters as pre-assessment, availability of equipment, clinicians, clinical need, case mixes, etc. To possess the ability to adjust accordingly in line with any changes.
To manage own workload to defined departmental policies and procedures, a manager will be available for reference when required
Each scheduler deals with a large volume of individual theatre and clinic lists, making the appropriate allocation of patients within defined timescales.
Main duties of the job
Be aware of and implement the detail of WG rules and regulations regarding Referral to Treatment Times and administer these correct Maintain up-to-date knowledge of current waiting list targets.
Ensure that all booking systems are adhered to.
Ensure & check all relevant pre-assessment tests have been completed.
Book patients into weekly theatre lists and pre-admission clinics.
Ensure that capacity is utilised to the maximum and informing Directorate Manager/Manager of any identified issues.
Ensure that all booking systems are adhered to.
Utilise good communication skills when contacting patients in relation to their appointments. Providing routine information which requires tact/persuasive skills where there may be barriers to understanding. Deals with queries escalating when necessary
Prioritise filling of theatre lists to capacity - use judgement to choose appropriate patients.

Qualifications and Knowledge Essential
Good general education including English and Mathematics at GCSE (Grade C or above) or equivalent demonstrable knowledge and experience to NVQ Level 3 Working in a busy environment dealing with the general public
Desirable
Customer care experience or previous clerical experience. Experience of handling telephone calls of a potentially sensitive nature whilst recording information accurately into multiple electronic data systems
Skills and Attributes Essential
Evidence of working under pressure to tight deadlines and deal with difficult situations e.g. patients, public and visitors Strong organisational skills with ability to prioritise Excellent word processing skills / computer skills Good administrative skills
