Job summary
An exciting opportunity has arisen for an enthusiastic and motivated member of staff to join our busy NIHR/WT Clinical Research Facility (CRF), Queen Elizabeth Hospital Birmingham.
The position combines patient booking coordination, administration, reception cover, and support for clinical research activities, requiring someone who is organised, approachable, and comfortable working in a busy healthcare environment.
Main duties of the job
Key Responsibilities
*Act as the first point of contact for investigators and Research Nurses booking patients into the CRF
*Provide administrative support to Senior Research Sisters and Research Nurses
*Maintain and update electronic annual leave records
*Provide cover for the CRF reception when required
*Liaise with consultants, researchers, nurses, and other staff across the organisation
Essential Skills and Experience
*Strong organisational and workload prioritisation skills
*Excellent communication skills and ability to work with staff at all levels
*Good IT skills, including:
Microsoft Word
Microsoft Excel
Microsoft Email systems
Patient Booking systems
*Ability to learn new computer systems quickly
*Ability to work independently and use initiative
*Flexible approach to supporting departmental needs
*Significant relevant administrative experience
*Strong customer service focus and professional manner
Working Hours
*Monday to Friday -- 8.00am to 4.00pm

Person Specification
Qualifications Essential
*NVQ Level 3 in Business Administration or demonstrable equivalent experience in an administrative or office-based role. *Knowledge of administrative procedures, including specialised IT systems and project management, training knowledge, acquired through formal training or experience to diploma level or equivalent relevant experience.
Desirable
*IT qualification such as ECDL. *RSA Level 3 typing or equivalent experience within administrative environment.
Experience Essential
*Excellent communication skills, both written and verbal. *Ability to plan work and multi-task. *Advanced IT skills with a working knowledge of Microsoft packages such as: Outlook, Word, and Excel. *Ability to work autonomously, or as part of a team. *Able to remain calm in a busy environment.
Desirable
*Minute Taking. *Able to use Audio Visual (AV) equipment.
Additional Criteria Essential
*Previous experience of working in an administrative environment. *Ability to maintain confidentiality. *Experience of coordinating meetings or events. *Experience of diary management. *Able to plan and prioritise own work. *Ability to meet the travel requirements of the role (cross site working between various Trust sites -- Queen Elizabeth, Heartlands, Good Hope and Solihull Hospitals). *Ability to work under pressure and tight deadlines, whilst maintaining accuracy. *Ability to work to a high standard, ensuring professionalism and personal integrity. *Willingness to learn and develop (e.g. participating in opportunities to enhance individuals' professional development).
Desirable
*Previous NHS administrative experience. *Experience of NHS ordering systems -- e.g. iProc (Oracle) / SAGE.
