POSITION DESCRIPTION After School Daycare Program Coordinator Camden County Schools Reports to: Chief Student & Auxiliary Services Officer Purpose: The After School Daycare Program Coordinator provides districtwide coordination, leadership, and oversight for the Camden County Schools After School Daycare Program. The Coordinator is responsible for the daily administration, organization, and operation of the district's after-school childcare services for school-age students. The Coordinator provides leadership and supervision to daycare personnel; coordinates student enrollment, attendance, and dismissal; oversees parent communication and fee collection; plans and monitors appropriate student activities; and ensures appropriate student supervision, health, and safety. The Coordinator works collaboratively with school administrators, district staff, employees, students, and families to provide a safe, structured, positive, and enriching environment for participating students. The Coordinator is responsible for ensuring program operations comply with Camden County Schools policies and procedures and all applicable North Carolina childcare, health, safety, licensing, and regulatory requirements.

Minimum Qualifications: Education/Certification: High school diploma or equivalent required. In addition, the employee must meet at least one of the following North Carolina educational qualification pathways for a School-Age Program Coordinator:

• Hold the NC School-Age Child Care Credential, earned through completion of EDU 120 or EDU 145 and either EDU 235 or EDU 263; or

• Complete at least 2 semester credit hours of Child/Youth Development coursework and 2 semester credit hours of School-Age Program coursework; or

• Meet Lead Teacher qualifications and hold a Basic School-Age Care (BSAC) Certificate; or

• Meet Administrator qualifications and hold a Basic School-Age Care (BSAC) Certificate; or

• Hold a qualifying, currently active Level I or higher certification on the School Age Professional (SA) scale issued by the NC Institute for Child Development Professionals prior to July 1, 2025, when applicable under current state requirements.

Official transcripts and/or appropriate credential documentation may be required to demonstrate compliance with North Carolina Division of Child Development and Early Education requirements. The educational qualifications listed above do not, by themselves, establish compliance with other applicable age, preservice training, criminal background, medical, or in-service training requirements. Experience/Other Qualifications

• Experience working with school-age children in a school, childcare, after-school, recreation, or youth program setting.

• Previous supervisory, management, or leadership experience preferred.

• Experience working effectively with parents, families, school personnel, and the public.

• Knowledge of child development, appropriate student supervision, and positive behavior management practices.

• Strong organizational, communication, interpersonal, and problem-solving skills.

• Ability to maintain accurate and confidential student, enrollment, attendance, personnel, and financial records.

• Ability to meet and maintain all applicable North Carolina childcare, health, safety, training, background check, and program requirements.

Essential Job Duties & Responsibilities:

• Coordinate and oversee the daily operation of the Camden County Schools After School Daycare Program under the direction of the Chief Student & Auxiliary Services Officer.

• Provide leadership, direction, and ongoing support to After School Daycare employees and ensure staff understand and follow district policies, procedures, safety requirements, and program expectations.

• Develop employee schedules and assignments to ensure adequate staffing, appropriate coverage, and proper student supervision.

• Monitor employee attendance, punctuality, performance, and compliance with established program procedures.

• Provide orientation, training, coaching, and ongoing support to program employees.

• Assist with recruiting, selecting, onboarding, and training program personnel as directed by district administration.

• Evaluate employee performance and address or communicate performance concerns in accordance with district procedures.

• Coordinate daily student arrival, attendance, activities, transitions, and dismissal procedures.

• Maintain accurate student attendance and sign-in/sign-out records.

• Coordinate student registration and enrollment in the After School Daycare Program.

• Maintain accurate and confidential enrollment, emergency contact, medical, attendance, custody, and other required student records.

• Serve as the primary point of contact for parents and guardians regarding program operations, student participation, billing, and concerns.

• Conduct parent conferences or meetings as appropriate to address student, behavioral, safety, or program concerns.

• Develop, implement, and consistently apply procedures to address student behavior and maintain a positive, orderly program environment.

• Ensure appropriate consideration of individual student needs, including applicable accommodations, medical needs, behavioral needs, and safety plans.

• Plan, coordinate, and monitor developmentally appropriate recreational, educational, enrichment, and social activities for participating students.

• Ensure classrooms, playgrounds, common areas, and other program spaces are appropriately supervised, safe, and maintained.

• Establish and maintain procedures for responding to accidents, injuries, illnesses, emergencies, behavioral incidents, and other safety concerns.

• Complete and submit incident reports and other required documentation accurately and in a timely manner.

• Ensure all program personnel understand and follow emergency, safety, student accountability, and reunification procedures.

• Maintain program compliance with applicable North Carolina childcare regulations, health and safety requirements, and Camden County Schools policies and procedures.

• Maintain program records and documentation required for district review, audits, licensing, inspections, and compliance monitoring.

• Coordinate required inspections, monitoring activities, documentation, and corrective actions as applicable.

• Monitor and manage the collection and documentation of program fees in accordance with established district procedures.

• Maintain accurate records of payments, outstanding balances, and other program financial information.

• Work with the Finance Department and other appropriate district personnel to ensure program financial transactions and records comply with Board of Education policies and established procedures.

• Prepare and submit required financial, enrollment, attendance, staffing, and program reports.

• Assist with developing and monitoring the After School Daycare Program budget.

• Monitor program expenditures and recommend supplies, materials, equipment, staffing, and other program needs.

• Monitor inventory and ensure adequate supplies and materials are available for program operations.

• Communicate program needs, concerns, successes, and recommendations to district administration.

• Develop and maintain positive and professional working relationships with students, parents, employees, school administrators, district personnel, and community partners.

• Maintain confidentiality of student, family, personnel, and financial information in accordance with FERPA, district policy, and applicable law.

• Participate in required professional development, meetings, training, and conferences related to childcare, student supervision, safety, and program administration.

• Maintain required certifications, credentials, and training and remain current on applicable North Carolina childcare regulations, health and safety requirements, district policies, and best practices for school-age programming.

• Perform other related duties as assigned by the Chief Student & Auxiliary Services Officer or other supervisor.

Knowledge and Abilities:

• Knowledge of child and youth development and developmentally appropriate practices for school-age children.

• Knowledge of effective student supervision, positive behavior management, and conflict-resolution strategies.

• Knowledge of applicable North Carolina childcare regulations, health and safety requirements, and school district policies and procedures.

• Knowledge of student enrollment, attendance, records management, and parent communication procedures.

• Knowledge of basic budgeting, financial recordkeeping, fee collection, and internal control procedures.

• Strong organizational and program management skills and the ability to coordinate multiple responsibilities and competing priorities.

• Skill in supervising, coaching, supporting, and evaluating employees.

• Skill in communicating effectively and professionally with students, parents, employees, school administrators, district personnel, and community members.

• Skill in addressing sensitive student, parent, personnel, and program concerns professionally and appropriately.

• Skill in planning and coordinating age-appropriate recreational, educational, and enrichment opportunities.

• Proficiency with standard office software, electronic communication systems, student information systems, and other required district technology.

• Ability to establish and maintain effective working relationships with students, families, employees, administrators, and community stakeholders.

• Ability to manage multiple program responsibilities while maintaining accuracy and attention to detail.

• Ability to communicate clearly and effectively, both orally and in writing.

• Ability to exercise sound judgment and respond calmly and appropriately to emergencies, student behavioral concerns, parent concerns, and other challenging situations.

• Ability to provide leadership that promotes a safe, supportive, respectful, and inclusive environment for students and employees.

Physical and Work Environment Requirements: The employee must be able to perform the essential functions of the position in a school and childcare environment, including supervising children in indoor and outdoor settings; moving throughout program areas; responding promptly to emergencies; and performing other physical activities reasonably associated with supervising and caring for school-age children.
