Pupil Services Assistant - S-III District Office Full-time, 12-month position - Benefits Eligible 8 hours day, 260 days year Salary $17.61 per hour Available Immediately after onboarding is complete Reports to: Director of Pupil Services and Supervisors of Special Education POSITION SUMMARY: Responsible for providing confidential administrative and clerical support services to the Director of Pupil Services and the Supervisors of Special Education. This position requires discretion, initiative, and excellent technical knowledge to provide a wide range of administrative and executive support tasks. The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality, is crucial to this role. Excellent written and verbal communication skills and attention to detail are required and essential. QUALIFICATIONS: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualifications listed below represent minimum levels of educational achievement, training, skill, and/or ability necessary.
• High School Diploma or equivalent with training in business/secretarial field; Associate's or Bachelor's degree preferred
• Advanced Skills with PowerSchool and PowerSchool Special Programs
• Advanced Skills with Word, Excel, e-mail, Google cloud-based technology
• Candidate must be detail oriented with excellent oral and written communications skills.
• Excellent time management skills; ability to handle frequent interruptions, prioritize work, and deliver organized projects on time
• Candidate must respect confidentiality of sensitive information and possess a high level of discretion.

ESSENTIAL DUTIES: Employee must have the ability to perform the following essential functions on a timely basis with or without reasonable accommodations. To successfully perform this position, a person must be able to perform each essential duty satisfactorily.
• Provide confidential administrative support services to the Pupil Services Department to meet deadlines and compliance with Chapters 14, 15, 16.
• Maintain and track timelines of non-public students determined to be eligible for school age services in compliance with Act 89 and Equitable Participation (IDEA).
• Prepare and distribute Pupil Services correspondence including letters, spreadsheets, reports, etc. with business acumen and etiquette.
• Calendar management to schedule and coordinate meetings for supervisors, director, and staff requiring interaction with both internal and external stakeholders.
• Correspond and communicate with various individuals, other educational facilities, and businesses via phone, email, and zoom meetings.
• Review Pupil Services documents for accuracy including but not limited to, Special Education, 504 Service Agreements, Residency, and Legal documents.
• Request, Obtain, and Distribute Special Education and 504 records for new student enrollments.
• Establish and maintain files and permanent records for current students as well as graduated/exited students six years after the student ceases to be enrolled in the District per Board Policy Retention Schedule.
• Organize and Maintain the Pupil Services section of the District Archive Room.
• Review, edit, and coordinate PIMS and Penn Data tables for bi-annual submissions.
• Have knowledge of and remain in compliance with UCFSD Board Docs & Policies pertaining to Pupil Services.
• Interact with internal staff and external contacts to provide the highest level of service to maintain an outstanding relationship with the Pupil Services Department.
• Collect, document, & submit Act 48 Submissions to the Asst. Superintendent Secretary.
• Maintain confidentiality of privileged and sensitive information related to District actions.
• Assist with scheduling and use of Pupil Services Vans and drive Vans to and from locations as needed.
• Regular and consistent attendance.
• Perform special assignments and other related duties as assigned.
