***GRANBURY ISD requires three references from former employers, college professors, supervisors, etc. with at least a minimum of two references being from previous supervisors. Granbury ISD will not accept references from friends or family members.*** Contract Days: 226 Primary Purpose Coordinate substitute staffing and support the onboarding of all new district employees. Enter and maintain accurate employee information in Skyward and other HR systems. Help applicants, new hires, substitutes, campuses, and departments complete staffing processes in a timely manner. Qualifications Education/Certification High school diploma or GED required. Special Knowledge/Skills
• Ability to enter and verify employee data accurately and maintain organized records
• Ability to learn and use Skyward, Red Rover, applicant tracking systems, and digital records systems
• Knowledge of school district hiring and onboarding procedures preferred
• Strong communication, customer service, and organizational skills
• Ability to manage deadlines and frequent interruptions
• Ability to maintain the confidentiality of personnel information
• Proficiency with Microsoft Office, Outlook, Google Workspace, email, and standard office equipment
Experience Three years of clerical, administrative, school district, human resources, or related office experience preferred. Experience with Skyward, Red Rover, or similar systems preferred. Major Responsibilities and Duties Employee Onboarding and Records
• Assist with the onboarding process for all new district employees, including communication, paperwork, required forms, and system access requests.
• Communicate onboarding requirements and deadlines to new hires and follow up on incomplete items.
• Enter new employee information into Skyward, including assigned personnel, position, and employment data.
• Review entries against approved hiring documents for accuracy and correct errors as needed.
• Update employee information in Skyward when approved employment changes occur and maintain supporting documentation.
• Track completion of required onboarding items and notify appropriate HR staff of missing information or issues requiring review.
• Assist with fingerprinting, background check, certification, I-9, and other employment documentation processes as assigned.
• Maintain electronic and paper personnel records in accordance with district procedures.
• Prepare employee lists, reports, spreadsheets, and system exports to support HR operations.
Substitute Staffing
• Coordinate the daily operation of the district's substitute management system.
• Assist campuses and departments with absence reporting, substitute placement, vacancy coverage, and system questions.
• Monitor unfilled assignments and communicate with campuses, departments, and substitutes to support coverage.
• Assist with recruiting, screening, onboarding, orientation, reactivation, and training of substitutes and temporary employees.
• Maintain accurate substitute records, including availability, status, training completion, and assignment eligibility.
• Explain assignment procedures, employment requirements, and pay processes to substitutes.
• Refer concerns about substitute performance, attendance, conduct, or eligibility to appropriate HR personnel.
• Generate reports on substitute usage, unfilled assignments, and related staffing needs.
General HR Support
• Respond to routine questions from applicants, employees, substitutes, and campus staff; refer matters requiring an HR decision to the appropriate administrator.
• Prepare routine HR correspondence and assist with filing, scanning, document tracking, and department projects.
• Protect confidential employee, applicant, and background information, including when working in shared office areas.
• Follow district policies and procedures related to hiring, employee records, and data entry.
• Participate in training related to HR systems, onboarding, employee records, and substitute management.
• Maintain regular and reliable attendance.
• Perform other duties as assigned by the Executive Director of Human Resources or designee.
Supervisory Responsibilities None. Equipment Used Computer, printer, scanner, copier, telephone, Skyward, Red Rover, applicant tracking system, digital document management system, and other standard office equipment. Working Conditions Work with frequent interruptions and deadlines, particularly during back-to-school hiring and periods of high substitute demand. Use a computer for prolonged periods and perform repetitive keyboarding. Sit for extended periods and occasionally lift and carry office files or supplies. Maintain emotional control under stress and handle confidential information with discretion. Occasional extended hours may be required.
