Job summary

An exciting opportunity has arisen for Administration Assistant to join our Humbelievable bank and support services throughout the Trust.

To comply with safeguarding regulations, we are only able to accept applicants from candidates who are over 18.

Humber Teaching NHS Foundation Trust is seeking experienced Bank Administration Assistants to join our Bank Workforce.

Primarily the shifts for this service mainly operate within our Mental Health units based at Newbridges, Miranda House, Mill View Court / Lodge, Maister Court, Cottingham Road, Hull.

However, as a member of our bank you will be able to pick up shifts trust wide.

Main duties of the job

Provide general administrative and clerical support to the service, including filing, scanning, photocopying and document management. Receive and respond to telephone calls, emails and face to face enquiries, ensuring messages and information are accurately recorded and passed on. Input, maintain and retrieve patient and service information using Trust electronic systems and databases. Maintain accurate patient records and ensure information is processed in accordance with Trust policies and data protection requirements. Process incoming and outgoing correspondence, including letters, reports and routine communications. Support the booking and administration of appointments, meetings and events as required.

Prepare routine documentation, reports and standard correspondence using Microsoft Office applications.

Assist with the organisation of meetings and take notes/action points for non-complex meetings where required.

Person Specification

Qualifications and Knowledge Essential

2 GCSEs/O levels English and Maths Advanced keyboard skills e.g. RSA/OCR, ICDL, OR demonstrable experience within A&C field at standard level To have some knowledge of office procedures, clerical/reception work.

Experience Essential

Experience in the operation and use of Microsoft Office products Effective organisational and interpersonal skills with the ability to deal with people at all levels

Desirable

Knowledge of Trust IT systems e.g. SystmOne as appropriate to work area

Skills and Competencies Essential

Be able to demonstrate good listening and problem-solving skills Able to demonstrate effective inter-personal communication skills, electronic, written and oral Good planning and organisational skills
