Community Use Program Specialist
Summary: Performs a variety of professional duties required to support the community use in all Fairfax County Public School (FCPS) buildings and on all FCPS grounds.
Qualifications: Required
• Any combination of education and experience equivalent to a bachelor's degree in business administration, finance, accounting, or a related field. • One (1) year of experience in program or fiscal management or experience working with schools and community organizations. • Advanced degree(s) beyond the minimum degree requirement in a relevant field may be considered for some experience.
• Knowledge of community use of facilities procedures, practices, regulations, and fee schedules. • Knowledge of administrative organization at the school level. • Good organizational skills. • Ability to learn and utilize related applications. • Ability to maintain user files. • Ability to prepare reports. • Ability to work independently. • Ability to work effectively under pressure. • Ability to work cooperatively as part of a team. • Ability to resolve conflicts and problems with community users. • Ability to maintain effective working relations with school administrators, community group representatives, recreation staff, and citizen groups. • Ability to communicate effectively, both orally and in writing.
Major Duties/Essential Functions: • Performs a wide range of administrative and fiscal tasks required to support community use by and for FCPS buildings and grounds. • Acts as a primary department-based community use point of contact for Fairfax County public schools, FCPS departments and offices, Fairfax County Community and Recreation Services, Fairfax County Park authority, college, cultural, community, religious, and private groups. • Acts as the liaison among the schools, central offices, and organizations. • Interfaces on a regular basis with the community use specialist at each school. • Maintains the automated scheduling and billing system. • Assists with event scheduling or rescheduling through the automated system. • Coordinates input of data into the automated system; resolves conflicts. • Assists with the research, development, and refinement of community use policies and procedures. • Assists with the development and provision of training. • Assists with the development of communication vehicles. • Performs a wide range of financial accounting tasks to support community use. • Reviews all financial entries made through the automated system and ensures accuracy. • Applies and collects fees, determines accounts to which to post fees, and notifies users of application status and fees. • Prepares invoices and credit memos. • Reviews monthly use and finance reports and resolves discrepancies. • Handles contract renewals. • Transfers monies to schools and to the finance department. • Accurately responds to all telephone calls, emails, and correspondence queries. • Performs related duties as required or assigned.
Work Environment/Physical Requirements: This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
